The Operations/Purchasing Manager Role
This critical position oversees the day-to-day operational functions of the design studio, ensuring efficiency and organization across all processes. Key responsibilities include managing procurement-related tasks, supporting sourcing, and coordinating installations.
Key Responsibilities
- Streamline studio operations, ensuring efficient workflows and resource allocation.
- Develop and implement operational procedures to enhance team productivity.
- Manage internal communications, coordinating between design, finance, marketing, HR, and legal teams.
- Serve as the primary point of contact for client inquiries, scheduling, and overall studio coordination.
- Oversee CRM system (Pipedrive) and maintain up-to-date project tracking and documentation.
- Coordinate client and vendor meetings, ensuring seamless communication.
- Maintain office supplies, handle billing, and oversee general office upkeep.
- Organize and maintain digital and physical filing systems, ensuring accessibility and efficiency.
- Run local errands, such as picking up and returning samples, managing mail, and handling deliveries.
Procurement Duties
- Assist with procurement processes, including vendor coordination, order tracking, and installations.
- Input and manage purchase orders and quotes within project management software.
- Research and present alternative product selections to the design team.
- Request and manage quotes from vendors, ensuring accurate pricing and delivery.
- Oversee sample coordination, including ordering and returns.
- Maintain an internal database of vendors and ensure quality standards are met.
- Manage receiving and warehouse storage for furniture, lighting, and accessories.
