Studio Bloom is representing an acclaimed interior design firm in the Bay Area. Our client specializes in high-end residential projects, with an emphasis on modern and traditional homes.
OVERVIEW
We are seeking a joyful, proactive, and detail-oriented Studio Manager to oversee daily operations, project coordination, and financial administration of our design studio. Working closely with the Principal and design staff, the Studio Manager will act as the logistical and administrative support for all phases of high-end, residential interior design projects. This key role ensures that proposal packages are issued on time, orders are placed and expedited accurately, and all project details are organized and tracked effectively.
The ideal candidate will have a proven track record in project coordination, purchasing, and financial management, with strong proficiency in Studio Designer. Exceptional organizational skills, time management, and the ability to work within deadlines are essential for success in this role.
RESPONSIBILITIES
Project Coordination
Organize and manage project documentation, including meeting notes, calendars, action items and team workflow.Request information and quotes from vendors; maintain status reports and specification schedules.Support with client presentations and image sheets in collaboration with the design team.Assist with sourcing products, attending site visits, and supporting installations as needed.Procurement & Expediting
Create and manage proposals, purchase orders, and expediting schedules to support project timelines.Oversee the purchasing and tracking of all project-related items, including furniture, fixtures, reserves, CFA’s, strike-offs, and custom orders; coordinate inspections, deliveries, and installations to ensure quality and accuracy.Maintain ongoing communication with vendors, design teams, and clients to provide updates on timelines, orders, and project progress.Financial & Studio Management
Process vendor payments, reconcile invoices, and issue monthly client billing.Update and maintain Studio Designer records, including purchase orders and financial reports.Prepare and review project budgets, client time billing summaries, and design fee invoicing.Develop and maintain harmonious relationships with clients, vendors, showrooms, and workrooms.Perform general office organization and upkeep as needed.Ensure core functions of the business are working smoothly & efficiently.QUALIFICATIONS
Demonstrated knowledge of interior design industry with 3 years of experience in a similar positionAccounting, bookkeeping and budgeting experience preferredPositive, team first attitude with a sense of humorEqually motivated to be self-directed and to work collaboratively, while creating and maintaining professional relationshipsEfficient and resourceful with superior organization and prioritization skillsDetail-oriented, organized, accurate and consistent in all paperwork and data managementAbility to communicate effectively and productively in a positive, inspiring mannerExcellent written & verbal communication skillsAbility to maintain organizational focus & push internal projects to meet deadlinesDemonstrated proficiency with a Mac, Studio Designer, Google Workspace (Email, Sheets and Docs), Asana, Slack and Canva; adept at learning new software as neededOTHER
