- Position SummaryThe Medical Records Specialist ensures patient medical records are entered into the EMR proficiently and accurately. This position is responsible for the release of health information and general duties associated with Medical Records to include responding to release of information requests, additional documentation requests and prepayment and post payment audits. The position assists the Medical Records Director with operations of the department as instructed.
- Education and Experience RequirementsEDUCATION:Required:High School Diploma or GEDPreferred:LICENSES AND CERTIFICATIONS:Required:Preferred:NCI TrainingTRAINING AND EXPERIENCE:Required:General computer skillsAbility to organize and achieve quality performanceProficient communication and interpersonal skills necessary to communicate with patients, coworkers, physicians, families, etc.Knowledge of the electronic medical recordAbility to understand and apply relevant legal concepts (e.g., confidentiality).Preferred:Minimum of 3 years medical record experienceProficient in the Release of Information process and the ability to understand and prioritize additional documentation requests and audits per policy and procedures.
- Essential Job Functions
- Demonstrates a thorough working knowledge of the electronic medical record system.
- Assist physicians and clinical staff with releasing records for referrals or continued patient care.
- Assist patients with release of information forms for PHI and accurately release records per request.
- Accurately prepare and release records for workman's compensation, subpoenas, physician clinics, and audits.
- Manage and respond to phone calls assisting patients, physicians, nurses, and employees in a timely and professional manner.
- Electronically file incoming faxes into the correct patient charts and category.
- Demonstrate a thorough knowledge of the HIPAA regulations that apply to the Hospital, protecting the security of the medical record to ensure confidentiality is maintained.
- Attends meetings related to Medical Records processes and process changes.
- Actively assists in developing training guidelines for new staff as well as validating job duties.
- Assumes the responsibility of EHR super user to participate in tests and updates. Uses this knowledge to inform and train staff accordingly.
- Assumes duties and responsibilities delegated from Medical Records Director that helps ensure department continuity of operations.
- Prepare medical records for prepayment and claim audits, as well as other medical records and claim audits, ensuring accuracy, compliance, and accurate records of the audit process.
- Assist in writing letters of reconsideration and appeal for denials of claims.
- Performs all other duties as assigned.
