Position Overview:

The HR Coordinator is a full time, Year-Round position that plays a key role in supporting the HR, Payroll, & Safety Manager with a range of day-to-day HR-related administrative tasks. In addition, this role will assist with office management tasks for the golf course maintenance facility, including processing invoices and ensuring supplies are adequately stocked. Success in this role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks with varying deadlines. The ideal candidate will possess an approachable, proactive attitude and a desire to develop within the HR field. The HR Coordinator will report directly to the HR, Payroll, & Safety Manager.


Position Responsibilities:

  • Manage job postings for seasonal positions. 
  • Facilitate and oversee the onboarding process for all new and rehired seasonal employees. 
  • Process termination paperwork and unemployment notices for seasonal employees. 
  • Assist in monitoring time and attendance for golf course maintenance and horticulture departments, making corrections and adjustments to employee time punches as needed. 
  • Maintain and organize employee records, ensuring compliance with company policies and regulatory requirements. 
  • Update and maintain the company organizational chart. 
  • Reconcile and code HR-related invoices monthly. 
  • Enter invoices into the accounting system weekly for the golf course maintenance and horticulture departments and organize scanned digital records for easy access. 
  • Participate in and assist with coordinating employee engagement activities and events. 
  • Serve as a resource for employees, answering questions related to company policies, benefits, hiring and onboarding processes, and other general HR-related topics as appropriate.
  • Maintain confidentiality and security of sensitive employee and company information. 
  • Maintain the Accident and Near-Miss Log, verifying that all required documentation is completed accurately and submitted in a timely manner. 
  • Serve as the first point of contact for safety-related questions and concerns, providing guidance and escalating issues to the HR, Payroll & Safety Manager as needed. 
  • Assist the golf course maintenance and horticulture departments with accident and near-miss reporting. 
  • Actively contribute and participate as a Safety Committee representative, supporting initiatives to improve workplace safety. 
  • Reconcile and code safety-related invoices and act as a secondary point of contact to address service needs related to first aid kits, AEDs, and eyewash stations. 
  • Manage the office supply inventory for the golf course maintenance facility, ensuring essential items are consistently stocked and available. 
  • Manage vending machine inventory for the golf course maintenance facility, ensuring snacks and beverages are consistently stocked and available. 
  • Serve as the primary contact for cleaning and pest control vendors at the golf course maintenance facility, ensuring quality service standards are met and addressing any facility concerns promptly.
  • Perform other duties as needed to support organizational and departmental objectives.

Requirements

  • High school diploma required; Bachelor’s degree in Human Resources or a related field preferred. 
  • 2 years of experience in administrative, office management, or human resources-related roles required. 
  • Experience with a Human Resources Information System (HRIS) preferred but not required. 
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook. 
  • Approachable and relationship-driven, with excellent communication and interpersonal skills. 
  • Ability to work both independently and collaboratively in a team-oriented environment.
  • Proactive and self-motivated, with strong organizational skills and the ability to efficiently manage multiple priorities in a fast-paced environment.
  • Ability to handle confidential and sensitive information with a high level of professionalism and discretion. 
  • Bilingual in Spanish and English is a plus.
