Position Overview:
The Reservations Supervisor assists the Reservations Manager in overseeing and coordinating the daily operations of the Reservations department. This role works closely with several departments to ensure our Members, and their guests have a seamless 5-star experience from arrival to departure. The Reservation Supervisor is responsible for scheduling room reservations, transportation requests, answering the main phone line and maintaining constant communication between departments. Success in this position requires strong communication skills, problem-solving abilities, and the ability to multitask in a dynamic, fast-paced environment. The Reservations Supervisor reports directly to the Reservations Manager.
Position Responsibilities:
- Supervise the daily operations of the Reservations department in the absence of the Reservations Manager or when the Manager is not present at the front desk.
- Provide direction and support to Reservations Associates by assigning daily tasks, monitoring progress, and assisting as needed to ensure timely and efficient completion of work.
- Review Reservations Associates’ work for accuracy.
- Assist in training Reservations Associates as directed by the Reservations Manager.
- Route incoming calls and answer inquiries received from Members and guests.
- Process Member reservations and transportation requests.
- Work closely with the Concierge to ensure a seamless Member experience.
- Collaborate with departments such as Food & Beverage, Transportation, Golf Operations, and Fitness & Spa to ensure member needs and requests are met.
- Schedule and coordinate Member requests for the use of the Boardroom or Cottages, ensuring all details are communicated to relevant departments.
- Support the Reservations Manager with additional administrative and operational tasks as assigned.
- Prompt for member special occasions such as birthdays and anniversaries.
- Other duties deemed necessary by the Department Director, CFO or General Manager.

Requirements
- Resort or Hotel Front Office/Reservations experience is preferred.
- Previous supervisory experience in a customer service-focused environment is preferred.
- Proficient in computer applications, including Microsoft Office Suite.
- Excellent communication skills, both verbal and written, and strong customer service skills.
- Previous experience in a customer-facing role demonstrating exceptional customer service skills.
- Flexibility to work evenings, weekends, and holidays is required, as the position supports a 7-day operation during the golf season.
