ENVISION YOURSELF AS OUR DIRECTOR OF FINANCE

As the Director of Finance, you will be responsible for supervising the financial activities of the hotel. Along with the General Manager and department heads, you will manage the operational budgets and forecasts. You will also prepare monthly cash flow forecasts, oversee preparation of accurate and timely monthly financial statements, maintain all contracts, leases and other legal and financial records and implement and support property operating policies and procedures. To keep everyone in the loop, you will attend regular Executive and Owner meetings. You will be responsible for preparing the presentations for these meetings as well. Consistency and confidentiality are both key when it comes to our finances, so you will need to display an analytical, discrete approach to problems with high regard for detail and accuracy. 


ESSENTIAL FUNCTIONS:

  • Maintain and secure assets, minimizing outstanding receivables and investments inventories.
  • Work with General Manager and Department Heads to create all operational budgets and forecasts.
  • Prepare cash flow forecast on a weekly basis and submit files for shared services to prepare weekly check runs 
  • Oversee preparation of accurate and timely monthly financial statements including month-end close reporting with associated commentary 
  • Serve as key contact for cash including regular audits of issued cashier banks and control of the main hotel safe
  • Manage all aspects of accounts receivable including credit evaluation, receiving deposits, producing group bills and timely collection of all outstanding invoices 
  • Develop and maintain internal controls in all departments.
  • Maintain all contracts, leases and other legal and financial records.
  • Implement and support property operating policies and procedures.
  • Operate in compliance with all local, state and federal laws and government regulations.
  • Assist in development of Risk Management program. Maintain insurance (general liability, property and Worker’s Compensation) programs.
  • Responsible for labor control through coordinating and conducting labor meetings and monitoring overtime. 
  • Communicate a Finance and Accounting calendar with due dates to Executive Committee and other departmental leaders as necessary (i.e. forecast, month end, budget, etc). 
  • Issue approved forecast and month end statements to Executive Committee. 
  • Coordinate all financial audits by outside concerns.
  • Coordinate all internal financial training and development of department heads and managers.
  • Function as financial advisor to all departments and provide on-going special project.
  • Prepare periodic presentations at owner’s meetings.
  • Develop and maintain positive working relationships.
  • Comply with quality assurance standards. 
  • Follow company and department policies and procedures; report accidents, injuries, and unsafe work conditions to manager; ensure uniform and personal appearance are clean and professional; wear nametag; maintain confidentiality of proprietary information; protect company assets. 
  • Follow property specific procedures for handling emergency situations (e.g., evacuations, medical emergencies, natural disasters).
  • Stand, sit, or walk for an extended period of time.
  • Have access to reliable transportation and follow attendance policy.
  • Hospitality experience preferred. 


ADDITIONAL POSITION DUTIES:

  • Respond to any reasonable task assigned by General Manager or Vice President, Hospitality Finance and Accounting 
  • Support the shared services team as needed 
  • Assist in other areas as needed
  • Notify Loss Prevention/Security of any reports of theft
  • All other duties as assigned


OTHER:

Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position.  Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment.

Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel.  In addition, attendance at all scheduled mandatory training sessions and meetings is required.

Upon employment, all employees are required to fully comply with Castlerock and Bobby Hotel Nashville policies and procedures for the safe and effective operation of the hotel’s facilities.  Employees who violate company rules and regulations will be subject to disciplinary action, up to and including termination of employment.
