Job Summary : We are seeking a detail-oriented and organized Front Office Coordinator to ensure the smooth operation of our office and administrative functions. The ideal candidate will have excellent communication skills, a proactive mindset, and the ability to handle a variety of tasks with efficiency and professionalism.

Key Responsibilities :

  • Maintain a well-organized and professional office environment, including managing office supplies.
  • Coordinate with vendors for water, coffee and vending services.
  • Oversee mail distribution.
  • Manage calendars, appointments, and meetings for select team members.
  • Prepare, edit, and distribute correspondence, reports, and presentations.
  • Handle incoming calls, emails, and inquiries, directing them to the appropriate personnel.
  • Assist with new employees, including setting up workspaces and facilitating introductions. Ordering business cards and other new hire items.
  • Plan and coordinate office events, meetings, and celebrations.
  • Arrange travel and accommodation for staff as needed.

Requirements

Qualifications :

  • Proven experience as an Office Coordinator, Administrator, Administrative Assistant, or similar role.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
  • Ability to maintain confidentiality and handle sensitive information.
  • Excellent computer skills, Word, Excel, PowerPoint.
  • Education and Experience :

  • Associate degree or equivalent required business administration or a related field is preferred.
  • 2-4 years of experience in a similar administrative role.
