Description
We are seeking a highly organized and detail-oriented Administrative Support professional to assist our purchasing department. The ideal candidate will be responsible for providing administrative support to our Risk Management Team, ensuring timely and efficient procurement of raw materials and maintaining accurate records. This role requires strong communication skills, attention to detail, and the ability to work effectively in a fast-paced environment.
Requirements
Key Responsibilities:
- Assist buyers in preparing blanket orders, purchase orders, requisitions, and other procurement documents.
- Maintain and update supplier contact information, contracts, and purchase history.
- Align with procurement team to maintain updated costs on product input costs
- Process purchase orders and track order status, including confirming receipt and delivery.
- Coordinate communication between vendors, suppliers, and internal departments.
- Monitor inventory levels and assist in the replenishment process.
- Ensure compliance with company policies, procurement guidelines, and budget constraints.
- Generate reports on purchasing activity, supplier performance, and inventory status.
- Assist in resolving any issues with orders, deliveries, or invoices, including liaising with vendors and internal stakeholders.
- Maintain filing systems for purchase orders, invoices, and correspondence.
- Process returns or exchanges as required, ensuring timely resolutions.
Qualifications:
- High school diploma required, Degree in Business Administration, Supply Chain Management, or a related field is a plus.
- Previous administrative support experience, preferably in a purchasing or procurement environment.
- Strong organizational and time-management skills with the ability to multitask effectively.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with procurement software or ERP systems.
- Strong attention to detail and accuracy in data entry and record-keeping.
- Ability to work independently and as part of a team.
- Knowledge of basic purchasing and supply chain principles is a plus.
Working Conditions:
- Full-time onsite, Monday to Friday, 8 – 4:30
