Job Summary:
The Donor Database and Gifts Manager will oversee the management, maintenance, and optimization of the senior center's donor database to support fundraising and donor engagement efforts. This role will ensure accurate record-keeping, streamline gift processing, and provide actionable insights to enhance donor relations and fundraising success. The ideal candidate is detail-oriented, tech-savvy, and passionate about supporting a high-need senior population through impactful development efforts.
Key Responsibilities:
Database Management:
- Maintain and update the donor database (e.g., Bloomerang, Salesforce, Raiser’s Edge, or similar CRM).
- Ensure donor records are accurate, complete, and up-to-date, including contact information, giving history, and communication preferences.
- Create and manage segmented donor lists for targeted outreach and campaigns.
- Implement database best practices to ensure data integrity and security.
Gift Processing and Acknowledgment:
- Process and record all gifts, pledges, and in-kind donations in a timely and accurate manner.
- Generate and send donor acknowledgments, tax receipts, and thank-you letters.
- Coordinate with the Finance Department to ensure reconciliation of donations and financial reporting.
Reporting and Analytics:
- Generate regular reports on fundraising metrics, donor trends, and campaign performance.
- Provide actionable insights to inform strategic fundraising initiatives.
- Support grant reporting with data on donor contributions and program funding.
Donor Stewardship:
- Work closely with the CEO / COO to implement donor engagement strategies.
- Assist in coordinating donor recognition programs, events, and communications.
- Manage our sustainable donor group, the Cactus Club.
- Maintain a calendar of donor communication touchpoints to ensure consistent engagement.
Team Collaboration:
- Partner with program staff, volunteers, and leadership to align donor database efforts with organizational goals.
- Train staff and volunteers on database use and data entry protocols as needed.
Qualifications:
Education and Experience:
- Bachelor’s degree in nonprofit management, business administration, or related field preferred.
- Minimum of 2–3 years of experience in donor database management or related role in a nonprofit setting.
Skills and Competencies:
- Proficiency in donor management software (e.g., Bloomerang, Salesforce, Raiser’s Edge) and Microsoft Office Suite.
- Strong organizational and problem-solving skills with a keen eye for detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Knowledge of fundraising best practices and donor stewardship strategies.
