The Administrative Assistant is responsible for providing clerical and administrative support to the Competitive Integrated Employment Services (CIES) office. This includes answering and directing phone calls, greeting visitors, managing office supplies, and assisting the Program Manager (Case Manager/Instructor) with assigned tasks. The ideal candidate will be organized, detail-oriented, and able to multitask in a fast-paced environment. This role requires professionalism, confidentiality, and strong communication skills to ensure efficient office operations.
ESSENTIAL FUNCTIONS
- Word processing, including correspondence, newsletters, and other documents, as assigned.
- Answering the telephone and door in a professional and efficient manner, screen calls and refer callers to the appropriate person, receive and convey messages.
- May be required to maintain office equipment and supplies, and other duties as assigned.
- Assist in organization and updating of client files.
- Maintain an orderly and professional Office.
- Welcome all visitors to the program.
- Daily interaction with employees and external business associates as required.
- Follow through with all Agency directives and assigned tasks and projects in a professional and positive manner, respecting supervision and constructive criticism.
- Demonstrate willingness to work cooperatively with colleagues.
- Maintain a high standard of ethical conduct, including confidentiality, regarding children, parents, colleagues, the Agency, and the community.
- Communicate respectfully to all constituents.
- Physical, mental, and emotional ability to accomplish the job, including assisting in evacuating the building, with or without corrective devices and accommodations.
- The ability to read and write, to hear the conversational voice, to speak and be understood.
- Work is performed in an office environment with the use of office equipment.
- Other responsibilities as assigned.

QUALIFICATIONS
- High school diploma required/ associate or bachelor’s degree preferred
- Experience working in an office environment and with the public.
- Polite and professional presentation with communication, problem solving skills, attention to detail.
- Strong interpersonal skills.
- Ability to multitask and strong interpersonal skills.
- Able to communicate in Spanish.
