For over 90 years, Catholic Charities Community Services of Arizona has provided life-changing services that protect and nurture children, help strengthen families and assist individuals in crisis.  We continue our early work today by delivering services in foster care, adoption and pregnancy counseling. We serve youth and families through early education and youth leadership programs. In response to growing needs in the community, we now serve veterans and their families, sex-trafficked survivors, victims of domestic abuse, refugees and immigrants, and those experiencing homelessness. Working with our affiliate, Housing for Hope, we provide affordable housing, as well as the resources and services individuals and families need to stay housed and feel safe and welcome.

JOB SUMMARY: Oversees all aspects of payroll accounting, ensuring timely and accurate payments, compliance with regulations, and efficient processes, while also managing payroll staff and payroll software. Assist and support with other accounting, internal control, and financial reporting functions.

 

ESSENTIAL DUTIES: 

  1. Ensure compliance with accounting principles and organizations' policies, procedures, and contracts.
  2. Responsible for accurate and timely processing of payroll, including salaries, benefits, deductions, and taxes. 
  3. Maintain compliance with agency, federal, state, and local government payroll, wage, and hourly laws and regulations.  Ensure payroll procedures are up to date.  
  4. Prepare and reconcile payroll and benefits reports, including worker’s comp, 403(b), tax filings and other required reports.
  5. Maintain accurate records of payroll and other accounting transactions, including spreadsheets and relevant documentation.
  6. Resolve payroll discrepancies and issues promptly and accurately. 
  7. Implement and maintain effective internal controls for payroll and accounting to prevent errors and ensure compliance. 
  8. Assist and support other accounting functions, including accounts payable, accounts receivable, general ledger, and cash management.
  9. Serve as a point of contact for payroll-related inquiries from employees and other departments.  Maintain comprehensive communication with all contacts, both internal and external
  10. Prepare or assist as needed with the preparation of financial statements, tax forms (e.g., Forms 990 and 1099), financial analyses, cash flow reports, and assigned account reconciliations. Ensure maintenance and organization of all necessary documentation for assigned accounts and transaction cycles. 
  11. Provide financial information, analysis, and evaluation of financial data as needed.
  12. Assist and serve as backup to the Controller as needed with external (3rd party) and internal (Agency) financial statements, tax, program, and other audits and reviews. Prepare, review, organize, and approve (if prepared by others) supporting work papers as needed.  
  13. Design, document, test, and monitor internal controls assigned.
  14. Maintain and serves as administrator for software like ADP Workforce Now, Company Mileage and benefit portals, etc.
  15. Supervise and manage assigned staff in accordance with agency personnel practices, including recruitment, training, performance evaluation, guidance, etc. Participate in ongoing personal and professional development. 
  16. Model professional standards and ethics in accordance with agency philosophy. 
  17. Participate in and support PQI initiatives, including attending relevant program leadership meetings and all relevant PQI meetings, to ensure organization-wide involvement in PQI and the development of program performance measurements.  Supervisors must also develop and provide appropriate staff training and support the recognition of accomplishments relative to PQI.   
  18. Promote ongoing commitment to excellence and continual quality improvement to ensure the highest quality of services to our staff and clients. 
  19. Perform other duties as assigned.
     

 JOB REQUIREMENTS:

  1. Education /Background:  Minimum of a Bachelor’s Degree in accounting or finance related with at least five (5) years of payroll processing, payroll and Department of Labor (DOL) laws, benefits administration and supervisory experience in monthly closing processes, financial statement and Not-For-Profit applicable tax forms preparation, financial analytics, cash management, accounts payable, procurement, accounts receivable, lease accounting, and internal controls. Experience with Great Plains accounting software and fund accounting strongly preferred.   Experience using and administering ADP Workforce Now preferred.                                  
  2. Skills: Must have strong time management, organizational, interpersonal, and verbal and written communication skills. Must have a thorough understanding of Payroll laws and regulations as well as Generally Accepted Accounting Principles. Must have strong problem-solving skills be able to maintain absolute confidentiality.  Must be respectful of and sensitive to cultural differences in the Agency, the Agency’s clients, and the community. Must be fluent and efficient in Microsoft 365 applications including Excel, Teams, Outlook, PowerPoint, and Word.
  3. Working Conditions/Physical Demands:  Must be able to work in a fast-paced environment with moderate interruptions. Must be able to stoop, bend, squat, sit on floor and ambulate over uneven floor surfaces including stairs and steps. Must be able to visually and auditory assess and interact with staff and vendors. May be required to lift up to 25 pounds. Extensive keyboard and data entry may be required. Driving required.
  4. Other requirements:
    1. Valid AZ driver’s license, reliable transportation and ability to show proof of registration/insurance.
    2. Level One Fingerprint clearance or ability to obtain fingerprint clearance; must maintain clearance. 
    3. You must be 21 years of age or older to drive on behalf of Catholic Charities.

This is a salaried position starting at $70,000-$85,000 annually depending on experience.
