Job Description:
We are looking for a highly skilled and dependable Payroll and Accounts Payable Specialist to take full ownership of payroll and A/P functions across multiple entities. This role is essential in ensuring that all employees are paid accurately and on time, and that vendor obligations are met consistently and efficiently. The ideal candidate has extensive hands-on experience running payroll and managing the full accounts payable cycle independently.

Core Responsibilities:
Payroll:
- Process weekly payroll for two (2) entities with precision and timeliness.
- Handle all payroll-related duties including earnings, deductions, garnishments, and taxes.
- Prepare and file payroll tax reports and ensure compliance with federal, state, and local regulations.
- Maintain accurate payroll records and employee files.
- Respond to employee inquiries regarding payroll issues with professionalism and confidentiality.
Accounts Payable:
- Manage full-cycle accounts payable for five (5) entities, from invoice receipt through payment.
- Review, code, and enter vendor invoices accurately into the accounting system.
- Schedule and process payments in a timely manner.
- Reconcile vendor statements and resolve any discrepancies.
- Maintain organized records of all A/P transactions, ensuring audit readiness.
Additional Responsibilities:
- Accounts Receivable & Billing: Support invoice billing processes, apply payments, and assist with collections.
- Reconciliations: Perform monthly bank, credit card, and general ledger account reconciliations.
- Financial Support: Assist the Controller with reporting, budgeting, payroll tax filings, and audit preparations.
- Record Keeping: Maintain complete and accurate financial documentation, including ledgers, journals, and receipts.
- Other Duties: Provide backup accounting support as needed and assist with special projects.
Required Qualifications:
- 5 years of professional experience in a role with sole responsibility for payroll and accounts payable.
- Strong knowledge of payroll regulations, tax compliance, and accounting best practices.
- Experience processing payroll and A/P for multiple entities is essential.
- Expert-level proficiency with QuickBooks and advanced Excel skills (VLOOKUP, pivot tables, formulas).
- High degree of accuracy, reliability, and consistency in work output.
- Ability to handle sensitive information with discretion.
- Comfortable working independently and managing priorities across entities.
Preferred Qualifications:
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field.
- Experience with accounts receivable and customer invoicing.
- Previous involvement in audits and budgeting processes.
