About the Program and Position :
Our Transitional Foster Care Program for Unaccompanied Children (UC) overseen by the Office of Refugee Resettlement (ORR), ensures the well-being and safety of unaccompanied children (ages 0-17) who cross the US Southern border without an adult. Unlike traditional congregate care settings, our approach involves placing unaccompanied children in foster homes while diligently searching for and assessing potential sponsors identified in the US. During their stay with us, we provide medical care, case management, engaging life skills classes, and essential mental health services.
Our Medical Department ensures that children are medically assessed thoroughly and in a timely manner upon arrival to the program and throughout the duration of being in our care. We are looking for a Medical Secretary who is passionate about helping this vulnerable population and able to document and coordinate quality care to the children and in collaboration with their care team, including foster parents. The role you play is crucial to the health and well-being of our unaccompanied children who are trying to establish a new home in the U.S.
How you get to use your skills…
Be the friendly, respectful and professional "first point of contact" for individuals (youth, foster parents staff) seeking assistance from the Medical Department, either by phone, e-mail or in person.
Schedule all medical and psychiatric appointments for youth
Process referrals to outside providers under the direction of the medical provider, including appointment scheduling and proper notifications to other departments.
Maintain files, including but not limited to, filing, copying, faxing, and data entry as assigned
Assist in the development and sending of correspondence, communications reports, etc.
Help ensure efficiency and quality of operations of the medical department by anticipating needs and making suggestions when opportunities for improvement are identified.
Schedule : Non-Exempt
Regular hours entail Monday-Friday 9am - 5pm
Must be flexible to meet program needs
High school diploma required, Associates degree preferred
Two years' office experience required, medical office experience required
Knowledge of medical office environment, workflow, and terminology
Strong knowledge and experience with Google Workspace
Proven attention to detail and organizational skills
Excellent typing, transcription and data entry skills
Ability to multitask within a fast-paced medical office setting
Ability to work independently and in collaboration with all agency staff
Excellent verbal and written communication and customer service skills
Ability to work well in an inclusive environment
Bi-lingual - English-Spanish required. All agency documents and records are in English, so English writing proficiency is required. Position itself requires Spanish speaking, writing, and reading proficiency
Physical Requirements :
Word processing : Including responding to emails, composing letters, completing computerized documentation, use of electronic medical records etc. : This involves sitting at a computer for prolonged periods of time
Completing paperwork -Such as copying, faxing & scanning
Answering phones, sorting mail, filing documents, lifting packages
