We are seeking a detail-oriented and organized Accounts Receivable Specialist and Time Clocking Clerk to join our team. This dual-role position combines managing accounts receivable processes with maintaining accurate employee time clock records to ensure timely payroll processing. Key Responsibilities
Accounts Receivable :
Process, verify, and post incoming payments accurately and efficiently.
Generate and send invoices to customers in a timely manner.
Reconcile accounts receivable ledger to ensure all payments are accounted for and properly posted.
Communicate with customers regarding overdue invoices and resolve billing discrepancies.
Prepare monthly reports related to accounts receivable and aging reports.
Collaborate with internal departments to resolve customer account issues.
Verify project taxability status for accurate job setup and invoicing
Time Clock Data Entry :
Collect and review employee time clocking data for accuracy.
Enter and maintain timekeeping data into the payroll system. – Maybe something we want to add to the role
Identify and resolve discrepancies in time records in collaboration with supervisors and employees.
Ensure compliance with company policies and labor regulations regarding timekeeping.
Provide support for payroll preparation by delivering accurate time data.
Qualifications
High school diploma or equivalent required; Associate or Bachelor degree in accounting, finance, or related field preferred.
Experience : Minimum of 7 years in accounts receivable or bookkeeping roles. Experience with payroll or time clock systems is a plus.
Technical Skills : Exceptional Microsoft Excel skills REQUIRED. “VISTA by VIEWPOINT” accounting software and “TRACK” timekeeping software is advantageous.
Communication Skills : Strong verbal and written communication skills to interact effectively with customers and internal teams.
Detail-Oriented : Excellent attention to detail and organizational skills to manage multiple tasks efficiently.
Problem-Solving : Ability to identify and resolve discrepancies independently.
Knowledge of GAAP principles and practices is required.
