Your Role:
The Events & PR Coordinator is responsible for planning, coordinating, and executing all internal and external organization events and major conferences. The Events & PR Coordinator works closely with Marketing, Institutional Relations, Academic Affairs, and Executive leadership to plan and implement our conference and event strategy. This role will also be responsible for all aspects of event planning and execution .

The Events & PR Coordinator is responsible for planning, coordinating, and executing all internal and external organization events and major conferences. The Events & PR Coordinator works closely with Marketing, Institutional Relations, Academic Affairs, and Executive leadership to plan and implement our conference and event strategy. This role will also be responsible for all aspects of event planning and execution .
What You’ll Do:
- Collaborate on conference and event strategy with VP of Communications & Strategic Engagement and other key external relations focused staff across the organization.
- Collaborate with stakeholders to define event objectives, target audiences, and themes.
- Plan and implement major conferences and organization-wide events.
- Oversee all aspects of conference and event logistics, including venue selection, catering, attendance, and technology needs.
- Create event and conference related promotional content and PR.
- Manage conference and event budget and advise other budget managers on conference and event cost allocation recommendations.
- Track expenses and manage vendor contracts in adherence with budgets.
- Ensure appropriate communication with all stakeholders, internal and external, on all aspects of conference and event planning.
- Coordinate event staffing, including vendors, contractors, and on-site personnel.
- Manage conference and event calendars.
- Provide information and training materials to staff attending conferences and events.
- Ensure seamless execution of events, troubleshooting any issues that may arise.
- Keep up-to-date on international education and higher education field conferences and events, as well as best practices in event planning and execution.
- Collaborate with Marketing staff to create conference and event campaigns and materials.
- Coordinate videography and photography content for events, PR, website, social channels, and other materials
- Other duties as assigned.
- 3 years of event planning experience, preferably in education or a related field.
- Experience collaborating with multiple stakeholders, including senior management.
- Ability to successfully manage multiple projects simultaneously and work under tight deadlines.
- Event project management experience.
- Comfortable working both independently and in a team environment.
- Strong verbal and written communication skills.
- High level of attention to detail.
- Strong administrative, organizational, and time management skills.
- Experience with event related systems, including CVENT and Eventbrite.
- Interest in the field of international education.
- Experience with HubSpot, Salesforce, Canvas, Google, and Microsoft Office suite, including Teams.
- Experience coordinating photography and videography content for events, website , social media platforms, and other channels.
