Job Overview : We are seeking a detail-oriented and organized Medical Records and Central Supply Coordinator to join our healthcare team. This dual-role position will be responsible for managing and maintaining patient medical records while overseeing the inventory and distribution of medical supplies. The ideal candidate will have strong organizational skills, attention to detail, and the ability to work collaboratively with healthcare professionals to ensure smooth operations in both medical records management and supply chain functions.
Key Responsibilities :
Medical Records Management :
Maintain accurate and up-to-date patient medical records in compliance with legal, ethical, and organizational standards.
Organize, file, and retrieve medical records efficiently, ensuring confidentiality and privacy of all patient information.
Process and prepare patient records for entry into the electronic health record (EHR) system.
Ensure compliance with healthcare regulations, including HIPAA, in the handling and storage of medical records.
Assist healthcare providers in accessing and updating patient records as needed.
Coordinate with other departments to obtain and relay patient information accurately and promptly.
Central Supply Management :
Oversee the inventory of medical supplies, ensuring that stock levels are maintained to meet the needs of the healthcare facility.
Track the usage and expiration dates of supplies, ensuring timely reordering and avoiding shortages or waste.
Receive, inspect, and store medical supplies in accordance with safety protocols.
Maintain accurate inventory records and perform regular audits to ensure proper stock levels.
Distribute medical supplies to various departments and ensure that they are used appropriately.
Liaise with suppliers and vendors to order new stock and resolve any issues related to product availability or quality.
Skills and Qualifications :
High school diploma or equivalent (Associate’s or Bachelor’s degree in health-related field preferred).
Previous experience in medical records management and central supply functions is a plus.
Familiarity with medical terminology, electronic health record systems, and HIPAA compliance.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills, with the ability to work effectively with various departments.
Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.
Knowledge of inventory management practices and supply chain protocols is preferred.
Proficiency in Microsoft Office Suite and medical record management software.
