Job Description: Collaborative Support Position on the Academic Services Team
Position Title: Academic Services Administrative Assistant
Reports To: Director(s) of Academic Services
Wage range: $20.76 - $25.73
Schedule and Calendar: 40 hours/week, 52 weeks
Paid Leave: Per the Support Staff Handbook
Job Summary: The Academic Services Administrative Assistant will support the Academic Services team by managing administrative tasks, enrolling new students, maintaining accurate and up-to-date resources, and coordinating key processes. This role will ensure seamless operation within the Academic Services team and contribute to achieving district academic goals.
Key Responsibilities:

Board of Education Documentation
- Share documents for Academic Services agenda items with the Board of Education.
- Ensure timely and accurate preparation of materials for review and presentation.

Classroom Supplies Management
- Organize and purchase classroom supplies as needed.
- Ensure timely distribution and inventory management of classroom resources.

Enrollment and Schools of Choice (SOC) Coordination
- Support processes and manage documentation for resident and Schools of Choice enrollments.

Event and Meeting Coordination
- Schedule and manage spaces for all Academic Service events.
- Coordinate logistics and provide on-site support for meetings and events.

Grant Management and Documentation
- Maintain documentation required for grant management and compliance.
- Collaborate with relevant team members to ensure alignment with grant requirements.
- MCIR Reporting
- Complete and submit Michigan Care Improvement Registry (MCIR) reporting as required.

PowerSchool Support
- Provide daily support within PowerSchool to maintain accurate and up-to-date records.
- Troubleshoot issues and assist staff with PowerSchool-related tasks as needed.

Professional Development Support
- Register and provide logistical support for staff attending professional development opportunities.
- Assist in ordering materials and supplies for in-house professional development sessions.

Support for Curriculum Resource Selection and Pilot Programs
- Organize and support curriculum resource selection committees.
- Coordinate logistics and documentation for new and/or pilot programs.

Website Content Management
- Maintain and update website content for the Academic Services team, ensuring accuracy and timely communication.
- Collaborate with team members to align content with district priorities and initiatives.
Qualifications:
- Education: High school diploma required; Associate’s or Bachelor’s degree preferred.
- Experience:
- Proficiency in administrative or support roles, preferably in an educational setting.
- Experience with FMX, PowerSchool, and grant management systems is an asset.
- Skills:
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency with Google Workspace and Microsoft Office Suite.
- Detail-oriented with the ability to manage deadlines effectively.

Work Environment: This position operates within the district office environment, with occasional travel to schools and event locations as required. Flexibility to adjust work hours for specific events or deadlines may be necessary.
Employment Terms: This is a full-time position with a competitive salary and benefits package, commensurate with experience and qualifications. Specific terms will be outlined in the employment agreement.

Cedar Springs Public Schools is a Preschool through 12th-grade public school consisting of over 3,500 students and nearly 400 employees. We are located within the city limits of Cedar Springs, Michigan in Kent County. Cedar Springs Public Schools is one of 20 member public school districts within the Kent Intermediate School District (KISD). We are unique in that our schools are all located within a single campus setting with the exception of the Middle School which is located 1 mile south of the main campus.
