Position Overview :

The Talent Acquisition Specialist (TAS), reporting directly to the Talent Acquisition Manager, plays a key role in improving the hiring and onboarding processes by managing training sessions, developing training materials, and implementing initiatives to streamline onboarding. They collaborate with hiring managers to understand staffing needs, assist in creating and updating job descriptions, and develop strategies for sourcing hard-to-fill roles. The TAS proactively builds and maintains a pipeline of candidates, conducts phone screenings and interviews, and supports recruitment planning. They also help track key recruitment metrics, optimize expenses, and work with leadership to attract top talent and enhance the employer brand.

Key Responsibilities :

  • Support in the maintenance and optimization of the Applicant Tracking System (ATS), ensuring access controls, permissions, and training materials are up to date. Provide troubleshooting support for ATS users and evaluate system functionality to suggest improvements based on user feedback and recruitment needs.
  • Create, publish, and manage job postings across various platforms (including Indeed and ), ensuring they are optimized to attract qualified talent and reach potential candidates.
  • Assist in the organization and participation of job fairs, recruitment events, and outreach activities to attract talent.
  • Ensure a seamless and positive experience for candidates from initial outreach to onboarding; collaborate with hiring managers to provide a welcoming experience, and check in with newly hired employees to gather feedback and ensure they feel supported during their integration into the company.
  • Collaborate with the Talent Acquisition Manager and leaders to identify current and future staffing needs, develop strategies to recruit for hard to fill positions, and implement initiatives to enhance our employer brand and attract top talent.
  • Assist in recruitment planning and interviewing processes, including helping with offer letters and onboarding.
  • Support the creation and management of recruitment reports, tracking key metrics such as time to fill, cost per hire, and source of hire, using tools such as Excel, Business Intelligence tools, and ATS reporting features, while analyzing data to provide insights and guide process improvements.
  • Assist with managing recruitment expenses to ensure adherence to the budget, while recommending cost-effective strategies and optimizing spending on job boards, advertising and other recruitment channels.
  • Manage the development and delivery of Talent Acquisition training sessions, training materials, and help implement new initiatives to streamline onboarding and improve the hiring process.
  • Collaborate on developing strategies aimed at improving employee retention, focusing on engagement, satisfaction, and growth opportunities.
  • Build and maintain strong, collaborative partnerships with hiring managers to fully understand their staffing needs and proactively respond with tailored recruitment strategies.
  • Proactively source candidates using various platforms (, job boards, social media, and networking events) to build and maintain a pipeline of qualified candidates for current and future openings.
  • Develop creative sourcing strategies for hard-to-fill roles, utilizing platforms such as Recruiter, niche job boards, and industry-specific networks.
  • Conduct initial phone screenings and in-depth interviews to assess candidate qualifications, experience, and cultural fit for the organization.

Mentor and provide guidance to Talent Acquisition Coordinator(s) or HR staff involved in the recruiting process, sharing knowledge and best practices to elevate the team’s capabilities.

Collaborate with the marketing team to create and promote employer branding initiatives, such as creating content for social media, developing employee testimonials, and supporting marketing campaigns that highlight the company's culture, values, and employee experience to attract top talent.

  • Assist in ensuring the recruitment process adheres to relevant laws and regulations, including equal opportunity employment and data protection laws.
  • Conduct audits of the new hire process to ensure compliance with company policies and identify areas for improvement.
  • Champion inclusion and diversity in the recruitment process.
  • Other duties as assigned.
  • Qualifications :

  • Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
  • Two or more (2 ) year(s) of experience in talent acquisition, recruitment, or HR coordination preferred.

    Familiarity with employment law is preferred.

    Understanding of applicant tracking systems and recruitment tools is preferred. Experience with Apploi is a plus.

    This position is required to have excellent communication and interpersonal skills.

    Strong skills in attention to detail and accuracy is required.

    Strong analytical and troubleshooting skills to support ATS issues and improve recruitment processes is preferred.

    Familiarity with tracking and analyzing recruitment data to assess key performance metrics is preferred.

    Proficiency in MS Office suite and experience with HRIS systems is preferred.

    Working Conditions :

  • This position may involve a range of physical activities, including those outlined in the Essential Duties, but is not limited to them. This position may need to walk or stand for extended periods.
  • While performing the duties of this job, the employee is occasionally required to stand / move, communicate, and identify written information. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl and lift and / or move up to 50 pounds independently.
  • This position requires the employee to be present at the corporate office daily. The role involves working at a desk for most of the workday.
  • This position may need to move through areas of the corporate office or other worksites of the organization.

  • Occasional travel (up to 20%) may be required for recruitment events, training events, or site visits, depending on the organization’s needs.
  • This position involves juggling multiple recruitment processes simultaneously, which requires strong time management and organizational skills. There may be deadlines for hiring specific roles or initiatives.
  • Must be proficient in video conferencing tools, email, and Microsoft Office Suite for managing reports, schedules, and communications.
  • This role involves actively participating in all staff activities aimed at fostering teamwork, unity, and morale. The individual will contribute as a collaborative team player, working alongside colleagues to create a supportive and cohesive work environment.
