Operations Coordinator
Location: Austin Christian University, Georgetown, TX
Reports to: Finance and Operations Director (ACU)
Summary of Role
The Operations Coordinator works in collaboration with the Finance and Operations Director to ensure the implementation and execution of Austin Christian University’s vision through day-to-day campus logistics, events, and assigned projects.
Position Status & Schedule
- Non-Exempt
- Full-time (40 hours)
- Monday through Friday – 9 am to 5 pm
- Christmas, Easter and Dream Team Appreciation service dates and times are black out days for time off. Other ACU events are considered required workdays for this position outside of your normal schedule. You will be informed in advance of any of these requirements.
Essential Functions & Responsibilities
Coordination
- Coordinate and complete daily operations by completing tasks that ensure the school’s spaces, events, and environments are well-maintained and leave a positive impression.
- Stay informed about Austin Christian University (ACU) policies, processes, and procedures to effectively connect prospects, students, Dream Team members, faculty, and staff with resources.
- Help with efforts for the school through collaborative process development for daily items within Austin Christian departments.
- Create and maintain project plans, operational documents, and other
- Provide administrative support by handling tasks such as document creation, calendar management, meeting note-taking, agenda preparation, office supply ordering, resource distribution, inventory maintenance, and data entry
- Submit and manage forms and requests for facilities, reservations, assemblies, and event purchases, serving as the primary contact for any necessary changes on behalf of stakeholders.
- Manage and respond to emails in designated departmental email accounts.
- Coordinate and plan travel, itineraries, and trips for ACU leadership and staff (as requested)
Events and Activities
- Assist in creating standard operating procedures and processes for recurring events.
- In-person assistance at ACU events, activities, and experiences as requested. Assistance includes set up and tear down of events, maintaining clean and excellent environments, greeting attendees, distributing resources, adjusting equipment or furniture, etc.
- Provide on-site facilities management support (i.e. event furniture/room set ups, trash pick up, light janitorial, coffee set ups) during events/activities.
Financial
- Assist in the review and reporting of Austin Christian’s financials and budget.
- Utilize purchasing processes for approval, ordering, and payment of services and items.
- Ensure maintenance of associated expense reporting.

Education & Experience
- Degree from an accredited institution of higher education.
- Minimum 2 years administrative, coordination, or leadership experience
- Prior experience (paid, intern, or volunteer) in higher education settings a plus
Work Environment & Physical Demands
- Must be able to remain in a stationary position 50% of the time
- Must be able to occasionally move about inside the University and Church facility and offices
- Must be able to position self to maintain supplies and equipment on lower shelves and in closets
- Frequently move supplies and equipment weighing up to 50 pounds
- Moderate exposure to physical risk
- Constantly work in open office environment
- Ability to work outside in various climates and temperatures
- Ability to drive between campuses
