We are seeking a detail-oriented, organized, and passionate Wedding Coordinator to join our team. The Wedding Coordinator plays a vital role in ensuring that each couple's big day runs smoothly, from initial planning to post-event wrap-up. You’ll be the go-to person for our couples, vendors, and event staff—making magic happen behind the scenes and in the spotlight.
Key Responsibilities: Client Management & Communication
- Serve as the primary point of contact for couples from booking through the wedding day.
- Answer client questions throughout the engagement with professionalism and warmth.
- Host the month-out meeting to finalize all event details.
- Collect final guest counts and event logistics.
- Create detailed wedding timelines and floorplans.
- Distribute all finalized event details to vendors and staff.
- Collect event insurance and damage deposits from clients.
Vendor Coordination
- Hire and manage all-inclusive vendors as needed (photographer, videographer, DJ, florist, cake, catering, dinnerware, and bar service).
- Email and confirm all vendor arrival times, responsibilities, and needs before the event.
- Collect and track certificates of insurance (COIs) from all vendors.
- Ensure seamless communication and coordination between vendors and venue team.
Event Planning & Execution
- Book rental items and finalize rental orders based on client needs.
- Send invoices to clients for any additional rentals.
- Coordinate ceremony rehearsals.
- Lead the setup and execution of the wedding day.
- Place venue décor items and tablecloths.
- Oversee overall setup, event flow, and cleanup.
- Ensure event transitions (ceremony to reception, dinner to dancing, etc.) happen on time and according to plan.
- Hire and manage event day support staff and cleaning crews, especially for back-to-back events.
Administrative Tasks
- Send all invoices and receipts to the accountant in a timely manner.
- Maintain up-to-date event files and documentation.
Qualifications:
- Confident and comfortable making decisions and voicing changes to vendors.
- Previous experience in wedding or event coordination (2 years preferred).
- Exceptional organizational and multitasking skills.
- Strong verbal and written communication skills.
- Calm under pressure, solution-oriented, and client-focused.
- Comfortable working weekends, evenings, and long event days.
- Knowledge of wedding trends, vendors, and planning software a plus.
- Ability to lift and move decor items and assist with physical setup.
Job Type: Part-time
Pay: $20.00 per hour
