Position Summary:
The Administrative Specialist is responsible for the day-to-day administration associated with safety programs, fleet maintenance, and construction equipment inventory. This position is also responsible for general administrative support to our offices and to assist with field leadership personnel.
Essential Functions:
Safety Administration
o Monitor, coordinate, and confirm fulfillment of safety training assignments
o Conduct new-hire employee safety orientations
o Maintain accurate safety records
o Ensure Jobsite trailers contain required and up to date documents and postings
o Assist with written safety program updates regarding regulatory requirements such as OSHA and SIP
o Manage online filing system for company safety policies, programs, procedures, and forms.
o Gatekeeper for Woodshop including scheduling and training
Fleet Management
o Maintain inventory and status of all vehicles
o Coordinate service, repairs, and replacement vehicles
o Manage collection and accuracy of monthly mileage logs
o Assist with vehicle disposals and purchases
Tool & Equipment Administration
o Maintain accurate equipment inventory in CMiC including location transfers
o Ensure monthly collection of jobsite equipment rental to meet billing deadlines
o Coordinate repairs and maintenance
o Assist with new purchase procurement
o Assist with scheduling yard personnel
Administrative Support
o General administrative support at main offices
o Facility maintenance
o Assist General Superintendent and Director of Self-Performed Work as needed
o Maintain database for field employee information and job assignments
o Assist with field team deliverables audit and reporting
o Assist with field employee travel, reimbursements, and purchases.

Education and Experience:
· Drivers’ License in good standing required.
· Minimum five years’ administrative experience preferred.
· Construction experience preferred.
Physical Requirements:
· Sitting: Able to sit for long periods of time, up to 8 hours per day.
· Standing or Walking: Able to stand or walk for short periods of time.
· Keyboarding: Able to type for long periods of time, up to 8 hours per day.
· Speaking: Able to express or exchange ideas by means of the spoken word to clients, employees, or the public accurately.
Job Type: Full-time
Pay: $25.00 - $35.00 per hour
Expected hours: 40 per week
