We are looking for a great Office Administrator to join our amazing Celtic family. We are needing a full time Office Administrator to assist our Midtown Property Manager on the West Plaza in Kansas City, MO. The office Administrator would assist in servicing our 714 multi property apartments located throughout Midtown and the surrounding area. The Office Administrator would have a wide range of responsibilities. Their key duties include:
Duties and Responsibilities:
- Professionally answer phone and greet customers as they come into office with authorized company greeting
- Contact utility companies regarding accounts and services at managed properties
- Update and share Google Sheets employee contact spreadsheet on google drive
- Data entry as requested by property manager, leasing agent and/or accounting department, ownership
- Filing as requested by property manager, leasing agent and/or accounting department, ownership
- Assist with lease signings and renewals when necessary as requested by leasing agent and/or property manager
- Schedule showings for prospective tenants in Google calendar
- Unlock and lock doors upon arriving and leaving office each day
- Perform any other tasks as requested
- Prepare lease violation notices; pest control notices; housekeeping notices, etc.
- Enter maintenance requests received through email and phone system as work order in Appfolio and respond to tenant regarding receipt of request
- Respond to tenant questions and requests via text, email and phone
- Occasionally attend eviction court hearings
- Provide vendors with keys to properties
- Take money and create receipt for app fees and security deposits brought into office
- Handle incoming and outgoing mail
- Monitor postage machine for funds
Qualifications and abilities:
- Excellent communication skills: written and oral
- Strong computer skills including knowledge of MS Office, Google Docs including a high level of ability with Excel and or Google Sheets as well as experience with Appfolio or similar real estate accounting software and QuickBooks
- Exceptionally well-organized, able to adapt quickly to competing and changing priorities while closely monitoring critical dates and departmental obligations
- Excellent attention to detail and oversight of day to day activities
- Must possess a positive attitude and the ability to smile under all circumstances
- Comply with expectations as demonstrated in the employee handbook
Employment Requirements:
- Attendance is an imperative job function.
- Ability to stay late and work past normal business hours in order to make sure all deadlines are met if necessary.
- Employees must fulfill the performance standards of this position and comply with policies, rules and procedures of the company, including those set out in the Employee Handbook or otherwise communicated (verbally or writing) to employees.
- Report to work at the time designated by manager.
- Learn and ensure compliance with all company, local, state and federal safety rules.
- Ensure that unsafe conditions are corrected in a timely manner.
Job Type: Full-time
Pay: $16.00 - $19.00 per hour
