Position Overview / Primary Responsibilities

CHCS is seeking a proactive and highly detail-oriented candidate to serve as a Human Resources Assistant for the HR / Operations division. This full-time, entry-level position will perform the administrative tasks involved with various operational needs and will support two senior-level professionals. This position is based in the CHCS office, near Princeton, NJ, and offers a hybrid schedule, two days in the office and three days remote. This position reports directly to the Vice President of Human Resources & Facility Operations.

Position responsibilities include, but are not limited to :

  • Human Resources / Operations Administrative Support
  • Manage and maintain employee records, including personnel files and benefit information (such as insurance coverage, paid time off, AAA memberships).
  • Manage full recruitment cycle, including posting and managing job openings, screening resumes, scheduling and coordinating interviews, and onboarding new hires.
  • Track applications via Applicant Tracking Software (i.e. ADP WorkForce Now) and maintain supporting documentation throughout the recruiting process.
  • Prepare new hire onboarding packets, process new hire paperwork, and schedule new hire orientation meetings.
  • Assist with special projects related to recruitment and talent acquisition.
  • Assist with benefits administration, including enrollments, changes, terminations and annual Open Enrollment preparations.
  • Assist with annual performance review and 90-day evaluations preparations and processes.
  • Assist with scheduling, coordinating and tracking professional development opportunities and annual compliance staff training.
  • Assist with annual Federal reporting requirements (e.g. EEOC, Affirmative Action, VETS).
  • Provide support for employee relations activities, including investigations and documentation.
  • Address employee inquiries regarding HR policies, procedures, and benefits.
  • Assist with developing organizational policies and procedures.
  • Ensure all HR-related documents are up to date on company Intranet (such as organizational chart, policies, State employment law posters).
  • Maintain Cash Log
  • Manage IT / maintenance requests and create purchase orders, as needed.
  • Process facility service and meeting center requests via Electronic Tenant Portal
  • Manage conference room calendars and reservations via Outlook.
  • Manage and process office supply orders and CHCS stationary inventory.
  • Maintain operations of postage meter and office equipment
  • Assist with coordinating, packaging, and shipping IT equipment.
  • Other administrative projects and duties as assigned.

Core Competencies and Requirements

  • Passionate about CHCS’ mission.
  • Associate’s degree in human resources is preferred but two or more years of previous experience in human resources and recruitment will be considered.
  • General knowledge of employment laws and practices, recruitment, and benefits administration experience is required.
  • Familiarity with federal contracting reporting preferred but not required.
  • Meticulous attention to detail.
  • Excellent organizational and time management skills.
  • Strong decision-making and problem-solving skills.
  • Strong and effective HR administration and interpersonal skills.
  • Ability to maintain confidentiality and handle confidential information with discretion.
  • Excellent written and verbal communication skills
  • Capacity to work well under pressure and meet tight deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite.
  • Experience with ADP WorkForce Now is preferred.
  • Physical Requirements / Working Conditions

    The incumbent will perform job duties in a business office or business home environment. Tasks are generally carried out with no specific or unusual physical or environmental demands. This role requires the ability to operate a computer of extended periods of time with standard office equipment. The incumbent may be required to attend meetings, both on- and offsite, via phone, videoconference or in person.     Salary and Compensation

    The salary range for this position is $50,478 - $70,669. The exact offered salary for this position within this range will depend on the candidate’s years of relevant experience, education and responsibilities. CHCS’ benefit package is comprehensive and highly competitive benefit package.
