Responsibilities:
As a Medical Records and Preauthorization Specialist, your duties will include, but are not limited to:
- Preauthorization Management: Confirm and obtain necessary authorizations, including worker’s compensation, prior to services being rendered.
- Referral Management: Manage patient referrals—sending, receiving, and preparing them for Dr. Oliva’s review.
- Medical Records Requests: Process and fulfill requests for medical records, ensuring compliance with office policies and procedures. Act as a liaison between our office and referring physician practices or hospitals.
- Medical Records & Documentation: Scan, fax, and maintain accurate and confidential medical records within patient charts.
- EMR System: Use electronic medical records (EMR) to keep patient data organized and up-to-date. You will be trained to use Athena, our EMR.
- Cross-Training: Assist with front desk functions as needed, including answering phones, scheduling, and patient check-in/check-out when the front desk staff member is absent.
- Confidentiality & Security: Protect patient confidentiality by following strict privacy and security protocols, ensuring PHI is handled appropriately.
- Customer Service: Provide excellent customer service by maintaining a friendly, professional, and helpful demeanor when interacting with patients.
Qualifications:
- High school diploma or equivalent (required).
- Prior experience in a medical office or clinical setting (required).
- Familiarity with medical terminology or prior experience in a medical or surgical environment (preferred).
- Strong communication skills, both written and verbal.
- Ability to multi-task, prioritize, and work efficiently in a busy, fast-paced environment.
- Comfortable using computers and EMR systems.
- Strong attention to detail, with a focus on accuracy and quality.
- A positive, team-oriented attitude and willingness to collaborate with colleagues.
