The Front Office Receptionist is responsible for providing excellent customer service to patients and visitors to the Center for TMJ and Sleep Solutions NW in Bellevue. This position is responsible for greeting patients, scheduling follow-up appointments, processing payments, and maintaining accurate patient records. The Front Office Receptionist also plays a vital role in ensuring the smooth and efficient operation of the clinic. They must be able to work independently and as part of a team and provide nothing less than 5-star customer service.
Essential Duties and Responsibilities:
- Check patients in for their appointment; greeting patients and visitors in a friendly and professional manner.
- Collect payments for copays, deductibles, out of pocket expenses and treatment costs.
- Verify patient demographics and insurance information, update patients chart as appropriate.
- Ensure all consents and required documentation are signed and uploaded into the patient’s chart.
- Check patients out at the end of their appointment; schedule follow up appointments and deliveries according to provider availability and patient needs; send outgoing referrals (MRI, sleep studies, PT, etc.)
- Answer the phones. Listen intently to each patient’s needs and provide positive appropriate feedback and care. If the call is outside your scope, direct to the appropriate team member.
- Check voicemails and return calls in a timely manner. Transcribe messages and route to the appropriate team member if it is not something intended for the front desk.
- Prepare the schedule in advance for the following week using established protocols.
- Review the next day’s schedule, being sure that any updates have been noted and prepared for the following day.
- Review Records Tracker, and request any records needed for patients’ appointments (e.g., sleep studies, MRI results) and upload into chart. Follow up on requests
- Send any records to dental or medical providers as requested.
- Check Weave messages throughout the day. Respond and archive when complete.
- Check faxes throughout the day, upload documentation into patient’s chart. (CBCT results, sleep studies, imaging, etc.)
- Run daily reports at the end of your shift, and route to clinic manager.
- Confirm patient appointments for the next day.
- Get the mail and distribute it to staff as appropriate.
- Provide general information about the clinic and its services.
- Proficiency with the practices EMR system and all other systems required for the position (e.g. Medsender, Weave, Tebra, Teams, etc.)
- Assist with other administrative tasks as needed.
- Maintain confidentiality of all patient information.
- Keep up with current office procedures and policies.
Qualifications and Requirements:
- High school diploma or equivalent
- 1 year experience working in a medical or dental office setting.
- Experience with Electronic Medical Records (EMR) systems.
- Strong customer service and interpersonal skills
- Ability to multitask and work independently.
- Proficiency in Microsoft Office Suite

Additional Information:
This is a full-time position. The Center for TMJ and Sleep Solutions NW has multiple locations. This position is in Silverdale, but there may also be times when you would be required to work in other locations due to staffing issues, vacation or other reasons.
