Description

The Executive Assistant at Central Bethany, located just north of the Beaverton-Hillsboro area, is responsible for supporting our Owners and Executive team through administrative and personal assistance to allow them to advance company initiatives and goals, including efforts outside the office. This role’s daily activities will vary widely and require interactions across internal departments and teams as well as with various external contacts and organizations.

The dynamic nature of this role requires excellent time management skills, the ability to identify and anticipate needs, high attention to detail, and a self-starter mentality. The Executive Assistant will conduct themselves with the utmost professionalism as a representative and extension of the Owners and Executive team. To perform this job successfully, the Executive Assistant is expected to handle highly sensitive and confidential financial, legal, personnel, and institutional information with the highest discretion and judgement.

 

This is a full-time, fully on-site role typically Monday - Friday. Korean language proficiency is a plus. 

 

Position Responsibilities

· Manage certain executives’ calendars, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.

· Draft, review, and send communications on behalf of company executives (as requested/needed).

· Organize and prepare for meetings, including gathering documents, managing logistics, or taking meeting minutes.

· Communicate messages and information to executives, coordinating work with other staff as needed.

· Assess matters of attention and communicate accordingly to Owners; redirect matters to staff to handle, or handle matters personally as appropriate.

· Exhibit sound judgment with the ability to prioritize and make decisions.

· Keep executives advised of time-sensitive issues.

· Perform a wide variety of supporting administrative duties.

· Carry out and/or organize various personal errands, tasks, or arrangements as needed.

· Handle printing, mail/overnight packages, copying, filing, and communications.

· Handle confidential and sensitive information.

· Complete a variety of special projects including presentations, financial spreadsheets, reports, tracking spreadsheets, agenda material, etc.

· Additional/alternative duties, including supporting other departments or staff as needed.

· Excellent verbal and written communication skills

· Strong time management and organizational abilities; able to multitask

· High attention to detail

· Demonstrated experience with Office 365 suite and calendar scheduling tools

· An open mind and a willingness to learn, while understanding that making mistakes and getting constructive feedback are cornerstones to growth and development

· A self-starter, with the ability to work independently, handle challenges with a positive attitude, and work in a fast-paced environment

· A collaborative team player capable of cultivating productive working relationships across the company; willing to do Whatever it Takes, without ego or arrogance

· Resourceful, with a can-do attitude and comfort in a fast-paced environment
