Job Description: The Coordinator of CFHS Operations will oversee the operations of the Central Falls High Schools main office to include flow of services, functionality of tasks/responsibilities, effectiveness of systems/process, and efficiency of daily routines and task completion. The position serves as the executive assistant to the Principal and other assigned administrators in addition to supervising the schools clerical staff that is responsible for providing various support services to students, parents, staff, and the public. The Coordinator of CFHS Operations will be required to demonstrate effective administrative, managerial, and leadership skills in the oversight and completion of all tasks and communications with multiple stakeholders in the fast-paced work environment. The position promotes positive public relations for the school and the district while ensuring that day-to-day operating systems are functioning without delays.
General Duties/Responsibilities: Leadership Duties: Provides lead direction to attendance, library, guidance clerical staff, home school liaison(s) and community members. Acts on behalf of assigned administrator(s) in their absence (e.g., questions, concerns, complaints) for the purpose of conveying and/or gathering information required for their functions in a timely manner. Oversees the day-to-day office responsibilities, tasks, and practices for the purpose of ensuring that all activities are completed in an accurate and timely manner. Coordinates and plans end of the year ceremonies and celebrations, transitions connected to the start and end of school including graduation, Open House and Parent Teacher Conferences.
Managerial Duties: Directs and monitors the work of office secretaries and clerical personnel to include, but not limited to arrangements for vacation coverage and overload assistance; coordination of special events; monitoring of student illnesses (in absence of school nurse); managing of special school events and ceremonies; and monitoring of administrative activities (e.g., account balances, work order status, Workers Compensation injuries, staffing, and room assignments, events calendar). Evaluates the office secretaries and clerical personnel Coordinates a variety of projects, functions, and/or program components (e.g., facility usage, guest teachers, in-service events, and travel/field trip accommodations). Manages the daily substitute and teaching fellow assignments for the purpose of ensuring that staff absences are covered in a timely manner and that student safety and educational process needs are met. Serves as primary contact for all CFHS staff and vendors.
Administrative Duties: Provides secretarial assistance to the Principal and other administrators as assigned; maintains appointment calendars; and schedules meetings. Compiles data for and prepares reports and other documents per the request of the Principal. Formats, types, and edits reports, and memos from the Principal. Maintains a wide variety of manual and electronic records, files, and documents (e.g., student registration data, student health forms, master calendar, employee records, operating budget, opening day forms) for the purpose of completing activities and/or delivering services in a timely fashion.
Composes a variety of documents (e.g., correspondences, agendas, minutes, newsletters) to ensure that purposeful communications are in place to inform the guidelines, decision-making, and operational best practices. Organizes data from multiple sources for the purpose of processing information in compliance with financial, legal, and/or administrative requirements. Facilitates processing of requests, ordering of materials, distributing supplies and managing school activity funds including completing and verifying deposits. Processes payroll including managing substitute pay and teacher vouchers.
Coordinates social media platforms and messaging from the school, including Warrior Webchats Oversees and coordinates after school activities/clubs and programs including posting, publicity, payroll and grant management Any other duties as assigned by the Principal
