General Duties: Answer phone, take messages and screen/direct calls to the appropriate guidance office staff; developing ongoing communications with parents and familiesSet the invitational tone of the school through presence and tone; greeting students and families.Prepare, file correspondences/reports and generate mailings for guidance office staff.Assist in coordinating students schedules, enrollment, and registrations; including assisting in the registration process.Coordinate progress reports and report card submission by teachers and distribution to studentsCollaborate with School Counselors and Admin with preparing and managing all students in the state testing platforms to include ACCESS, RICAS, and NGSS. This includes assisting with state testing schedule at CalcuttRequest/send records to other schools based on requests from transfer students.Process and track student status regarding enrollment and withdrawal from school.Track student records relating to attendance policy.Track daily attendance for bus studentsTruancy reportsAttendance lettersProduce reports when requested by guidance staff or administrators.Provide support to the schools main office as needed.Other related duties as assigned by the schools administration. Assume responsibility for the clerical functions of the Calcutt Middle School (CMS) guidance office and School Counselors. Acquire and maintain a knowledgeable base of information concerning the total school program.Serve as the schools lead for management and oversight of student information and records to include, but not limited to: The process of transferring studentsAssist in Truancy CourtInventory of all student filesEnter all media permission in the Student Information SystemCollect and enter lunch form documentsUpdate emergency contact information Work in partnership with families, students, and staff regarding updating Skyward information.Act as a primary liaison between the CMS administration/guidance staff and faculty/school community.

This task includes, but not limited to: Setting up progress reports in the Student Information SystemSet up elementary and middle school report cards in the Student Information SystemMonitor that all grades are entered; follow up with teachers if requested/neededProvide one-on-one support/training to staff who request assistance with report cards/gradingSet up schedules in the Student Information System and assign schedules to all studentsAssigning advisory periods to studentsProcessing schedules for all new studentsInput the itinerant schedules quarterlyUpdate and monitor the teacher schedules on a regular basisIn partnership with school administrators, support the task of entering behavior consequences.
