Key Responsibilities
- Exhibit strong communication and organizational skills with impeccable follow-through on tasks and details.
- Coordinate internal and external meetings for multiple executives, including managing attendee lists, agendas, meeting notes, and follow-up on action items.
- Review and manage complex, dynamic calendars, prioritizing executive and team needs, anticipating conflicts, and resolving scheduling issues promptly.
- Assist in creating materials for monthly team meetings and weekly core team meetings, coordinating with presenters for seamless delivery.
- Oversee logistics for both internal and external meetings, including partner visits, offsites, and department events; responsibilities include securing spaces, setting up, and arranging catering as needed.
- Plan, coordinate, and execute team-building events, holiday gatherings, offsites, and happy hours; manage department budget tracking, including ordering team swag and gifts for partners.
- Arrange and coordinate complex travel and accommodations in alignment with company policies; manage and submit expense reports in Concur in a timely manner.
- Act as a conduit for information flow between internal and external stakeholders, building cross-functional relationships across departments.
- Collaborate with other executive partners on high-level projects and organization-wide events.
- Maintain a high level of confidentiality, demonstrating discernment and judgment in all interactions.
- Independently implement processes, manage tasks, and handle ad-hoc projects with minimal direction.
- 5 years of professional experience in a similar role, including experience supporting senior directors or vice presidents and their teams.
- 5 years of experience in calendar management, coordinating travel logistics, and expense report management for one or more executives.
- Bachelor's Degree.
- Experience working at a tech company is a bonus.
- Expert-level skills with G-Suite (Calendar, Sheets, Docs).
- Proficient in Slack, Jira, Concur, and cloud-based systems.
- Flexible and highly adaptable team player with a can-do attitude, covering for urgent items as needed and supporting other executive partners.
- Experience prioritizing multiple projects.
- Partners and collaborates effectively with the team and cross-functional leads to improve productivity.
