Job Description
Under the supervision of the Director of Student Life, the Student Engagement Advisor (SEA) works collaboratively with Student Advocacy Activities Leadership Team (SAALT) to plan, promote and facilitate a comprehensive calendar of events and student leadership programs. SAALT is a group of up to eight students who advocate and plan events for Centralia College students.
This position does require, upon occasion, extended workdays to include evening hours and extended workweeks to include evening and weekends.
This is a full-time, at will, salaried overtime eligible position.
Duties and Responsibilities
Student Advocacy and Activities Leadership Team (SAALT):
- Implementing policy and operating practices in dealing with student hiring as it relates to the SAALT.
- Assist SAALT in planning and implementing a well-rounded offering of student led and student planned activities.
- Attend and supervise student-sponsored events, including occasional evening and weekend activities.
- Work with the director on development of student leadership training and conduct Leadership Training Workshops.
- As requested, attend off-campus conferences with SAALT.
- Assisting with maintain necessary documents related to vendor contracts and student trips (i.e., performance agreements, travel liability waivers, etc.)
- Reserve facilities for SAALT events through 25Live.
Phi Theta Kappa
- Engage the chapter on all comprehensive levels ¿ campus, community, region and international.
- Have in place a functioning Officer Team.
- Assist the officer's team in establishing chapter goals.
- Invite eligible students to become members.
- Attend officer meetings and membership meetings.
- Hold three new member induction ceremonies ¿ one in fall, winter and spring.
- Provide new member orientation.
- Guide the Chapter's participation in the Hallmark Awards and PNW Region Awards competitions.
- Promote international initiatives such as Five Star Competitive Edge.
- Work with the All-USA and All Washington Academic Team competition and the College's two nominees.
- Coordinate submit annual reports to International Headquarters.
- Make all travel arrangements for convention/region events.
- Travel with members to off campus meetings/convention.
- Assist the Chapter in fundraising.
- Monitor the budget Phi Theta Kappa funds.
- Provide leadership training for PTK officer and interested PTK members.
Clubs:
- Develop and implement student club training materials and workshops for student leaders, involved students and student club advisors throughout the academic year.
- Oversee student engagement efforts to follow best practices with regard to charted student clubs and policies that outline the charting and management of student clubs.
- Create, review, communicate and enforce student club protocols and guidelines.
- Oversee and work with professional staff and Director of Student Life & Involvement, ensure student club forms, handbooks, etc. are available online and accessible.
- Assist with identifying and addressing risk management issues of student clubs; ensure the waivers are completed and administered correctly.
- Provide oversight of fundraising for student clubs to include proper protocols required from the Department of Health (food handling protocols and permits) and finance protocols (documentation, cash handling, startup fund use and reconciling after the event.)
- Develop and implement ongoing training for Chartered Student Clubs.
Budget Management:
- Provide budgetary planning, organization and leadership to student leaders.
- Process expenditures via ctclink for SAALT, Phi Theta Kappa and other budgets as needed.
- Assist with ensuring compliance with appropriate state and college accounting rules and regulations.
- Develop and oversee Services and Activities (S&A) Fee budgets associated with areas of responsibility.
- Monitor sponsored activities to ensure timeliness, deadlines and budgets are maintained.
Other Duties:
- Serve as the administrator for SLIC social media platforms and assist SAALT on social media practice and etiquette.
- Serve as a Campus Security Authority in relation to the Clery Act.
- Ensure a social media presents for student life and Phi Theta Kappa on but not limited to CC Website, Facebook, Twitter, Instagram and other forms of social media.
- Participate in the annual student life student leader hiring process.
- In collaboration with the Director, develop and assess department learning outcomes.
- Participate and contribute to SLIC initiatives and major events, including providing leadership in the SLIC.
- Collaborate with the Director of Student Life on development and revision of office policies and procedures.
- Represent SLIC in campus committees as needed.
- Maintain communication with Centralia College administration, faculty, staff and other key stakeholders.
- Other duties as assigned to support Student Life & Involvement.
Qualifications
- Bachelor's degree in a related field AND one academic year (two semesters or three quarters) of related full-time or part-time undergraduate student involvement/leadership experience in a college setting, human services or related field; OR equivalent education/experience.
- Ability or knowledge of Microsoft Office Suite, Canva, social media applications;
- Knowledge of general extracurricular and co-curricular offerings at a community college;
- Ability to drive College vans in a safe manner.
Preferred Qualifications
- Experience with event planning.
- Experience and knowledge supporting diverse students and communities at the community college level;
- A demonstrated commitment to building inclusive work environment.
- Demonstrated strong organizational skills and ability to handle multiple tasks simultaneously and set priorities.
Conditions of Employment
This is a twelve (12) month per year, full-time professional technical overtime eligible exempt position. The salary is $48,500 - $50,500 (DOQ/DOE) annually depending on the qualifications and experience of the successful candidate. The state of Washington provides a comprehensive benefits package for state employees. The position may participate in the TIAA/CREF retirement system.
