Position Objective
The Payroll Administrator performs all payroll processing functions and administrative duties to support the Finance and Human resources departments to ensure the best customer service to employees, leadership, and external clients, all while maintaining a high level of confidentiality.
Essential Job Functions
- Enters and maintains information in the payroll system, including hourly rates, salaries, bonuses, per diem or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information
- Ensures timely and accurate processing of all payroll transactions, including salaries, benefits, garnishments, taxes, and other deductions
- Prepares and maintains accurate records and reports of all payroll transactions
- Process Verification of Employment (VOE) requests
- Ensure accurate processing of prevailing wage rates, certified payroll reporting, and MBE and WBE reporting
- Maintains compliance with federal, state, and local payroll, wage and hour laws, and best practices
- Reconciles payroll transactions to the general ledger
- Prepare and file quarterly 941 tax returns
- Prepare, file, and distribute annual W2s and W3
- Accurately post labor costs to appropriate projects as reflected on timesheets
- Process Verification of Employment (VOE) requests
- Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents
- Maintains office files; implements an efficient system for other staff to access files and records
- Performs other related duties as assigned
Supporting Job Functions
Finance
- Manages company credit cards, processes monthly credit card reconciliations, and accurately posts to the general ledger
- Posts miscellaneous journal entries to the general ledger
- Generates accounting and audit reports for cash receipts, accounts payable and receivable, expenditures, and profits and losses
- Performs other administrative Finance duties as assigned
Human Resources
- Completes I-9 forms, verifies I-9 documentation, and maintains I-9 files
- Reconciles benefits statements
- Files digital documents into appropriate employee records
- Performs other administrative HR duties as assigned
Qualifications and Requirements
Basic Qualifications
- High school diploma or equivalent
- At least three years of related experience in Payroll, Accounting, or Human Resources
- Intermediate knowledge of Microsoft Excel
- Prior experience with Certified Payroll Reporting
- Paycor experience is a plus
Knowledge, Skills, and Abilities
- Proficient with or the ability to quickly learn payroll software
- Excellent organizational skills and attention to detail
- Strong analytical and problem-solving skills
- Maintains a strict level of confidentiality
- Knowledge of payroll functions, including preparation, balancing, internal control, and payroll taxes
- Knowledge of generally accepted accounting principles (GAAP) and financial data analysis
- Shows excellent time management skills with a proven ability to meet deadlines
- Embraces technology and can use it in ways that improve the experience of Centric associates and clients
- Maintains composure and professionalism in difficult situations and effectively resolves conflicts without escalating tension
- Demonstrates strong initiative and can accomplish tasks with minimal manager supervision
