Job Summary:
Reporting to the HR Director, the Payroll Specialist ensures the accurate and timely processing of the US payroll, supporting 1,000 employees in different locations accordance with the company policies and procedures and legal requirements. Responsibilities include payroll processing and compliance as well as maintaining payroll and time attendances HRIS modules. Oversee company initiatives that impact payroll and make recommendations for process improvements.
Owns the full-cycle payroll operation for all locations and ensures timely processing of payroll for all US employees in accordance with labor regulations and standard accounting principles. Develops systems and protocols to direct the collection, calculation and entering of pay data.
Key Responsibilities & Duties:
- Process multi-state, multi-company, biweekly and weekly payrolls for all exempt and non-exempt employees, ensuring accuracy and timeliness
- Performs filing and upkeep of employee records.
- Creates and maintains SOP for payroll processing and trains other team members on the payroll system as backups.
- Ensures timely filing of all quarterly tax returns and year-end tax filings. Ensuring and verifying that the payroll processing company has filed all necessary reports.
- Sets up new tax states for Withholdings (SIT) and Unemployment (SUI) accounts by EFEIN. Replies to any correspondence having to do with tax accounts for all US companies. Works with outside vendor to resolve any issues when necessary.
- Makes recommendations, as necessary, for changes in policies and procedures.
- Maintain technical competency and remain current in technology and changes in the industry.
- Processes fiscal year-end reports and reconciles W-2 information for accuracy. Reports errors immediately to Sr. Director, HR Services. Documents any discrepancies in payroll processing to maintain a clear record of reconciliation and adjustments.
- Responsible for all PTO/Sick hours at year-end/year-begin in all HRIS systems including carryover hours, balances and payouts.
- Processes fiscal year-end reports and reconciles W-2 information for accuracy. Reports errors immediately to Sr. HR Director. Documents any discrepancies in payroll processing to maintain a clear record of reconciliation and adjustments.

- Processes wage garnishments, pay levies, and other involuntary court-ordered payments in a timely manner, including reporting to the necessary State office or jurisdiction and assisting employees with general process questions.
- Works with current pay vendor for technical issues with time-reporting systems and resolves any discrepancies resulting from glitches or malfunction of the time reporting hardware.

Education & Preferred Qualifications:
- Education: Bachelor's Degree
- Experience: 3-5 years in payroll, HR and shared services
