The Case Coordinator support s the Case Manager in manag ement and oversight of investigations handled by the Ethics and Compliance department for the life cycle of the investigation from intake to resolution .
Responsibilities
- Performs intake of complaints or concerns reported to the HCA Healthcare Ethics Line or received directly via written correspondence, telephone calls, email and/or the company’s Internet websites or portal.
- Adheres to policies and procedures for timeliness and consistency in the intake process for all complaints received by the Ethics and Compliance department.
- Documents all contacts made and incorporates all information, reports, records, recordings or documentation received, whether in paper or electronic format, in the case file.
- Tracks open investigations and makes appropriate status related entries in the electronic case files.
- Regularly communicates with the assigned investigators regarding the status of investigations.
- Ensures cases are appropriately closed in the electronic case management system once approved for closure.
- Maintains and tracks cases identified by the Legal Department as being indefinitely held for litigation purposes.
- Transfers and recalls files from storage for compliance with Legal Hold notifications as needed.
- Prepares case summaries, statistical reports and other administrative documents as needed.
- Prepares content for presentations, training and education functions as needed.
- Coordinates with the Legal Department to provide case files and follow-up information related to cases subject to Legal Hold or as otherwise requested.
- Excellent communication skills, written, verbal in person and in a virtual environment.
- Self-motivated and able to work in a fast-paced environment.
- Work independently and collaborate effectively with colleagues to accomplish task.
- Proficient in Microsoft office products, including Word, Excel, PowerPoint, Outlook, Teams, etc. and an ability to learn and work efficiently in case management databases.
- Experience in data analytics and manipulation for trending and analysis.
