We are looking for a Part Time - Medical Front Desk for our Palm Harbor clinic to join our team. Days are Tuesday and Wednesday all day and Thursday afternoon.

Certified Foot and Ankle Specialists, LLC (CFAS) is an exciting, rapidly growing medical practice with 17 clinical locations throughout East and West South Florida. Headquartered in Delray Beach, we have been providing advanced, comprehensive lower extremity care since 2007. This position is best suited for a caring, compassionate person who is an organized, and self-motivated. Job Description:

  • Always Greet Patients with a smile, be helpful and polite
  • Answer phones in a timely manner (usually by 3rd ring)

Schedule appointments:

  • Always try to make an appointment
  • New patients: Collect all patient information necessary over the phone (insurance/ID, phone number, etc.)
  • Encourage patient to go online and print new patient paperwork or come in 15 minutes prior to appointment to fill out
  • Established patients: Ensure that all demographic information is correct. If not, then have patient update.

Confirm appointments for next day:

  • Print out schedules/verify insurance is active (primary/secondary)

Check-In Patients:

  • Collect ID & Insurance cards/medication lists if any
  • New patient paperwork (if not already done)/HIPAA forms to complete o Ensure patient information is correct
  • Must always collect co-pays or deductibles.
  • Scan all documents into patient’s chart
  • Verify/Collect patient co-pays and post into patient’s account
  • Notify MA that patient is ready

Schedule Follow-Up Appointments:

  • Discuss any referrals that need to be sent
  • MRI’s
  • Schedule for Boynton Location (Medicare can be scheduled at time of check-out. For any commercial insurance, send to Authorization Department. To be called when authorization is received.
  • Physical Therapy Orders/Home Health Care Orders
  • Send out with Demographics and Face Sheet
  • Nerve Conduction

Collect Copays (if missed during check-in) and Co-ins payments:

  • Dispensing DME:
  • o Ensure proper forms are signed before checkout
  • o ABN forms: Medicare/Commercial Insurance
  • o Orthotics Policy Form
  • o Diabetic Shoes-Proof of Delivery-signed
  • o Bracing Dispensing-Proof of Delivery form
  • o Payment Plans (optional)

Ensure all referrals are documented:

  • o Physical therapy
  • o Home Health
  • o MRI
  • o Nerve Conduction

E-prescribing:

  • o Open Encounter
  • o SOAP-S
  • o Medication List
  • o E-prescribed

Check Fax Machine as needed:

  • Disperse any medical paperwork to each physician (MRI/Medication requests, etc.)
  • Scan paperwork into chart once signed by physician

Expected hours: 20 – 25 per week
