The Security Services Coordinator operates independently, executing a variety of complex and confidential security-related tasks to support the business unit. This role involves communicating with and providing services to a diverse range of internal and external contacts. The Coordinator anticipates and resolves problems, ensuring the Supervisor is regularly updated on the status of all projects.
Essential Functions:
- Record and track the process for the Sexual Offender Reports / Intelligence Database Program and the GSAR Program. This includes cross-referencing data to ensure there are no discrepancies and that proper research has been conducted.
- Handle office purchasing for Security Services and Building Security. Delegate for Investigator for Visa Intellilink, including invoice coding, processing, and approvals.
- Conduct research for Departments and Special Projects. This includes providing discovery to outside legal counsel for cases involving lawsuits, as well as supplying statistical data upon request to Corporate Maritime Security, Marine Operations, and other relevant departments.
- Prepare and maintain all security logs, including the Quarterly SVR Log for Corporate, Port Crime Reports, Security Breach Reports, Sexual Assaults, Shoreside Incidents, Investigative Logs, Man Overboard incidents, and Monthly Ship Reports.
- Manage department scheduling, Kronos timekeeping, and travel bookings. Additionally, provide weekly notifications to ships and shoreside department heads with the contact information of the Duty Investigator.
- Ensure departmental document compliance, including Coast Guard Secure Phone compliance (STU), passports, Global Entry, Port ID, and TWIC cards. Responsibilities also include file maintenance, scanning, filing, faxing, and handling overnight mailings.
- Record Retention Liaison – inventory management (internal and external storage)
- Prepare and Maintain Statistical Data to include Monthly Executive Summary and Narcotics Intelligence / Hess Reporting to Corporate
- Coordinate Early Boarding Requests / Order uniforms for shipboard security / Process Building Facilities work orders.
Qualifications:
- High School Diploma or equivalent required.
- Paralegal background, office manager or office coordinator experience preferred.
- 2 years of related experience.
- Possess excellent interpersonal and English verbal/written communication skills, and highly proficient in Microsoft Office.
- Work as a team member and independently on multiple tasks and meet deadlines. Well organized and adept at managing peak workloads. Uncompromising personal integrity as well as a high level of respect for all individuals. Detail-oriented and able to work efficiently in a face-paced, confidential and dynamic work environment with little to no supervision.
The pay for this role is $18.57 an hour, paid every Friday.
