Position Overview: Chadds Ford Township is seeking a highly organized and proactive Administrative Assistant & Assistant Building Code Official to support township administration, code enforcement, and community engagement initiatives. This full-time position is ideal for a motivated professional who excels in a multi-faceted role, balancing administrative responsibilities with technical support for the township’s building department, permitting processes, and community development efforts. This individual will serve as a key point of contact for residents, businesses, contractors, and township officials, ensuring efficient operations and high-quality service delivery. Key Responsibilities:
- Administrative Support – Provide direct support to township administration, respond to public inquiries, maintain records, and assist with meeting preparation and documentation for the Board of Supervisors, committees, and commissions.
- Building Department Assistance – Process permit applications, schedule inspections, track open permits, maintain accurate records, and support code enforcement efforts.
- Code Compliance & Enforcement – Assist the Code Enforcement Officer by drafting notices, maintaining enforcement logs, and ensuring compliance with township regulations.
- Infrastructure & Utility Support – Process Highway Occupancy Permits (HOPs), coordinate with contractors and utility companies, and ensure compliance with township and PennDOT regulations. Monitor road issues, track utility repairs, review PA One Call notifications, and follow up on township road complaints and permit compliance.
- Public Engagement & Event Coordination – Assist with developing community outreach material (i.e., event flyers & e-newsletters), coordinate public communications, and manage township-sponsored events.
- Open Space Committee Liaison – Prepare and distribute meeting materials, attend committee meetings, transcribe minutes, and support open space initiatives.
Qualifications:
- Education: High School diploma or equivalent (Bachelor’s degree in Public Administration or Business Administration preferred).
- Experience: 2-3 years of municipal experience required.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with permitting software is a plus.
- Communication & Organization: Strong verbal and written communication skills, excellent attention to detail, and the ability to manage multiple priorities effectively.
- Physical Ability: Ability to lift/carry up to 25 lbs. for document management and event setup.
- Certifications: Building Code Official License or willingness to obtain.
