Description
The core function of this position is to provide scheduling, administrative and project management support for the Resource Development department. This role will support the execution of membership, sponsorship and multi-year fundraising campaigns, and investor relations activities as directed by the Senior Vice President of Resource Development. This position will regularly engage with Chamber clients, customers, prospects, and consultants to drive departmental results.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Coordinates fundraising efforts for the Senior Vice President of Resource Development with the Chamber’s top investors and foundation contributors, with a heavy emphasis on appointment scheduling, sending proposals, submitting grant applications, assisting with inquiries, such as billing questions as needed.
- Schedules appointments for current and prospective members and investors to meet with Chamber Executive team, SVP and internal staff.
- Prepares campaign materials, ask letters, and other relevant documents for meetings as needed.
- Ensures timely follow-up is performed to secure funding commitments.
- Coordinates meetings to recruit investors, including finding and securing a venue, host, and food and beverages, building meeting agendas and collecting RSVPs as necessary.
- Schedules/coordinates meetings for Senior Vice President as needed external and internal stakeholders.
- Performs data entry into the database to track fundraising interactions with external stakeholders.
- Verifies investor contact data to ensure the accuracy of donor recognition materials.
- Supports the planning and execution of investor relations activities.
- Compiles and analyzes data as needed.
- Performs other duties as required and assigned in support of the Resource Development team.
Qualifications
KNOWLEDGE, SKILLS, AND ABILITIES:
- High School Diploma or equivalency.
- A minimum of 2 years of experience providing administrative support to an executive or team, including hands-on experience in project or program coordination. Bachelor’s degree may substitute for the required experience.
- Proficient computer knowledge in Microsoft Word, Excel, Outlook, and PowerPoint. Proficient with database management.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and proven ability to develop and foster rapport and strategic relationships.
- Effective time management skills and the ability to work under pressure and manage multiple projects at one time.
- Ability to analyze data and complete reports as needed.
- Ability to handle highly confidential information.
WORK AND PHYSICAL REQUIREMENTS:
- Work environment: Normally a typical office environment with minimal exposure to excessive noise or adverse environmental issues, with occasional outdoor exposure to heat, cold, and environmental elements.
- Physical demands: Manipulate, handle, feel, and control items or equipment. Able to read, write, and interpret written documents. Occasionally lift and move objects weighing up to 25 pounds.
