Job Summary:
Montgomery law firm seeks a qualified candidate for a full-time (40 hours per week) Assistant Office Administrator and Front Desk Administrator. This successful candidate will work closely with the firm's Office Administrator and attorneys to ensure smooth operations daily. The qualified candidate will possess both customer service and bookkeeping skills. The job involves the accurate and timely handling of financial transactions, including accepting/posting payments, calculating daily deposits, keeping the firm's office supplies properly inventoried, and other duties as assigned to assist the firm's Office Administrator and supervising attorneys. The job also involves answering and routing phone calls, returning messages, and interacting with visitors to the firm. Compensation is commensurate with qualifications.
Responsibilities of the Assistant Administrator
- Accept and post walk-in payments
- Manage daily deposits
- Manage firm lobby
- Answer and route phone calls
- Sending, receiving, and processing postal mail
- Keeping inventory of office supplies stocked
- Other office tasks as assigned
Skills of the Legal Assistant
- High school diploma or GED required; college education not required
- Basic computer knowledge (Word, Excel, SharePoint, Teams)
- Familiarity with Alacourt, Accurint, AlaFile, JST (CollectMax), Equifax
- Excellent written and verbal communication
- Able to work independently after instruction
- Able to quickly learn new systems, processes, and procedures
- Able to sit for long periods and perform repetitive work
