We are looking for a highly organized and detail-oriented Receptionist to serve as the first point of contact for visitors and callers while also providing administrative and logistical support to the office. This role requires a proactive individual who can efficiently manage phone systems, mail distribution, shipping coordination, office supplies, and various administrative tasks in a fast-paced and evolving work environment.
The ideal candidate will be comfortable working in a less structured setting as the company transitions toward more streamlined systems and processes.
Key Responsibilities:
Front Desk & Customer Service:
- Greet and assist visitors, vendors, and delivery personnel at the front entrance.
- Answer and direct incoming calls to the appropriate store or department.
- Handle customer complaints, document issues, and forward them to the appropriate Regional Vice President (RVP) and General Manager (GM).
Mail & Shipping Coordination:
- Collect and distribute incoming mail from the office mailbox and post office.
- Schedule UPS and FedEx pickups and generate shipping labels as needed.
- Order and maintain UPS shipping supplies to ensure document and package shipments run smoothly.
- Assist office staff with shipping requests as needed.
Phone System Management:
- Access and update the main phone database for employee setup and troubleshooting.
- Clear voicemail messages for the insurance department upon request.
- Set up new phones for employees and address phone-related technical issues.
Office Equipment & Supply Management:
- Monitor and maintain the network printer, ensuring ink, waste cartridges, and paper are stocked.
- Order replacement ink and waste cartridges through vendor when needed.
- Contact technical support for printer issues when required.
Administrative & Accounting Support:
- Distribute ANET receipts to stores, General Managers (GMs), and Office Managers.
- Complete lender applications and return them to requesting stores.
- Assist in processing Certificate of Insurance requests for stores and lenders.
- Support the titling department as needed.
- Scan and mail Manufactured Statements of Origin (MSO) for document processing.
Qualifications & Skills:
- High school diploma or equivalent required (associate degree preferred).
- Valid driver's license required.
- Must be eligible to obtain a Notary Public License for the State of Mississippi.
- Minimum of two years of office experience, preferably in a fast-paced administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
- Ability to multi-task and prioritize responsibilities while maintaining attention to detail.
- Strong communication and customer service skills.
- Ability to work independently and adapt to an evolving work structure.
- Experience with phone system management (FUSE or similar) is a plus.
Work Environment:
- This position operates in a professional office setting with frequent use of standard office equipment, including computers, phones, printers, and filing cabinets.
- The role may involve occasional interactions with visitors, vendors, and delivery personnel at the front desk.
- The noise level in the work environment is typically moderate.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to lift and carry office supplies, packages, or equipment (typically up to 25 pounds).
- Occasional standing, walking, bending, and reaching to complete tasks.
- Ability to travel locally (e.g., post office, office supply store) as needed.
- Visual and auditory ability to operate office equipment and communicate effectively in person and via phone.
