As the Registrar you will be responsible for managing entry, acquisition, and maintenance of educational data, including attendance, enrollment, and census information while ensuring the accuracy and integrity of all data recorded. Key responsibilities include training and supporting new and existing employees on the student information system, maintaining and monitoring health and immunization records, and preparing data for state reporting.
This position operates under the direction of the Regional Vice President (RVP) of Operations or an assigned administrator and plays a vital role in the regional team by supporting data accuracy and compliance. The Registrar upholds strict confidentiality and integrity standards while contributing to companywide initiatives as an active and collaborative member of the Ombudsman team.
‖ Responsibilities Include:
- Reviewing student data for accuracy and resolving discrepancies related to demographics, enrollment, withdrawals, and attendance.
- Generating custom reports within required timeframes to support decision-making and compliance.
- Operating in accordance with company data management techniques, privacy laws, and procedures while upholding organizational goals and outcomes.
- Maintaining accurate immunization and health records and preparing data for submission in compliance with state reporting deadlines.
- Escalating concerns related to student records, data integrity, or compliance to the Operations Manager, assigned administrator, or immediate supervisor.
- Verifying authenticity of record requests and enrollment verifications while responding to inquiries from schools, colleges, employers, and authorized agencies in accordance with Record Release Procedures.
- Identifying data entry and filing challenges, assessing end-user training needs, and implementing practical solutions to maintain data integrity.
- Providing training, support, and guidance to end users on internal systems, data entry accuracy, and report generation.
- Completing audits of electronic filing systems, including but not limited to sign-in sheets, enrollment documents, and other critical records.
- Serving as the primary point of contact for managing district systems within assigned region(s).
- Participating in the annual assurance process to ensure compliance and data accuracy.
- Maintaining positive and collaborative relationships with staff, administration, parents, and district partners.
- Performing additional duties and projects as assigned to support operational and compliance objectives.
‖ Qualifications Required:
- High school diploma or equivalent with passage of basic skills test.
- Associates degree or higher in a relevant field of study preferred.
- Minimum 1yr of prior experience working in an administrative or clerical position; or equivalent combination of education, training and experience.
- Prior experience working in an education program setting preferred.
- Highly knowledgeable in program management and/or development and working with databases/spreadsheets.
- Proficient in writing detailed reports, business correspondence, procedure manuals, research abstracts and articles.
- Advanced oral and written communication, organization, conflict resolution, multitasking, problem solving, and decision-making ability.
- Ability to effectively present information and respond to questions from groups of staff members, students, parents, customers, and the public.
- Highly skilled in training, coaching, administrative support, and/or technical support functions.
- Well-versed in the use of relevant technology including experience with computers, Microsoft Office Suite, database entry and basic office equipment.
