Position Summary:
Charis Neurology is seeking a highly organized and personable Front Office Coordinator to serve as the first point of contact for our patients and visitors. This role is critical in ensuring an exceptional patient experience and smooth day-to-day operations of our neurology center. The successful candidate will handle a variety of administrative tasks, manage patient scheduling and registration, and provide general support to our clinical team in a fast-paced startup environment.

Key Responsibilities:
- Front Desk Reception:
- Greet patients and visitors in a professional and friendly manner.
- Manage patient check-in/check-out procedures and maintain a welcoming waiting area.
- Answer incoming calls, respond to inquiries, and direct calls to appropriate staff.
- Patient Scheduling & Registration:
- Coordinate appointment scheduling for consultations, imaging, infusions, and other services.
- Ensure accurate entry and updating of patient information in our Electronic Medical Record (EMR) system.
- Administrative Support:
- Assist with front office tasks such as handling correspondence, filing, and data entry.
- Process insurance verifications and assist patients with registration forms.
- Provide support with billing inquiries and follow-up on patient accounts as needed.
- Operational Coordination:
- Work closely with clinical and management teams to maintain efficient office workflow.
- Assist in organizing and executing patient outreach and marketing initiatives.
- Support day-to-day office operations, including managing supplies and maintaining office equipment.
- Compliance & Confidentiality:
- Adhere to HIPAA and all other regulatory requirements in handling patient information.
- Maintain confidentiality and professionalism at all times.
Qualifications:
- High School Diploma or equivalent; additional coursework in office administration or a related field is a plus.
- Minimum of 1-2 years of experience in a front office or administrative role, preferably in a healthcare setting.
- Proficient computer skills, including familiarity with EMR systems and Microsoft Office Suite.
- Excellent communication skills (both verbal and written) and a strong customer service orientation.
- Ability to multitask, manage time effectively, and work independently in a fast-paced environment.
- Strong attention to detail and a commitment to accuracy.
- Bilingual skills, especially in Spanish, are highly desirable to serve our diverse patient population.
Working Conditions:
- Standard office environment with regular business hours; occasional extended hours may be required to meet patient needs.
- Role may involve moderate sitting and walking; occasional lifting of light office supplies is required.
