POSITION SUMMARY:
The Administrative Assistant supports the mission of the Center for Human Services by performing secretarial duties to aid the Director of Community Living – North and the Director of Family and Community Supports through a broad range of administrative duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provide overall administrative support by overseeing various daily office operations such as;
    • Scheduling meetings and setting up appointments, conferences, and events,
    • Handling general written communications such as incoming and outgoing mail and emails, typing, proofreading, and editing general correspondence such as memos, charts, tables, and graphs to ensure accuracy and clarity of information presented.
    • Attending staff meetings, preparing meeting agendas and taking meeting minutes, as requested.
    • Greeting and assisting office visitors.
    • Answering phones and routing calls to the appropriate recipient.
    • Utilizing wide variety of standard office machines in daily work to include copier/fax machine, printer, multi-line telephone, shredder, laminator, projector, and scanner
  • Create and maintain a highly organized professional environment by:
    • Filing and managing physical and electronic records in organizational databases and/or software applications to current standards,
    • Maintaining and ensuring accuracy of spreadsheets and systems used to monitor case assignments, staff training, Individual Support Plan (ISP) verifications, and service provision.
    • Collaborating or working independently on special projects, if needed.
  • Maintains compliance as needed by:
    • Maintaining knowledge of the agency and departmental policies and procedures.
    • Presenting a positive attitude and demeanor when working with co-workers, administrative staff, supervisors, and/or other agencies.
    • Accepting and willingly carrying out special assignments or duties, when requested.
    • Completing training as required and seeking training opportunities for applications specific to the business needs of the organization.
    • Support Covid-19 prevention measures through entry procedures, and the sanitization of public areas before and after use as appropriate per Covid-19 company procedure.
    • Maintaining confidentiality while working with sensitive information.
    • Promoting safety to make CHS a safe place in which to work.
    • Ensuring all Host Home Providers have an annual FCSR completed, and that relief staff have one completed every other year.
  • Support the Host home staff and FCS Program management, as requested
    • Emailing potential new Host Home providers application and follow up with required training and certifications.

QUALIFICATIONS:
REQUIRED EDUCATION and EXPERIENCE

  • Associates degree (AA or AAS) in related field plus one year of related work experience or combination of education and experience to equal three years

PREFERRED EDUCATION and EXPERIENCE

  • Personal or professional experience working with individuals with developmental disabilities.

PHYSICAL REQUIREMENTS:

  • This position is primarily a sedentary role.
  • Must be able to lift, carry, squat, bend, move, push or pull, and sit or stand for long or intermittent periods.
  • Must be able to spend extended time viewing a computer screen and typing on a keyboard.

SHIFTS: Full-Time (40 hrs. per week) during normal business hours 8am to 5pm.
