POSITION SUMMARY: The Medical Administrative Assistant provides administrative support to the medical department at Charles Drew Health Center (CDHC). The Medical Administrative Assistant will assist with assigned departmental activities to ensure effective workflow, consistent business practices and provide excellent service to CDHC patients, employees, and partners. The Medical Administrative Assistant will participate in assigned meetings, coordinate activities, provide record keeping, assist in monthly reporting, and act as the communication hub for the medical department.
POSITION-SPECIFIC COMPETENCIES/ESSENTIAL FUNCTIONS/DUTIES & RESPONSIBILITIES
- Provides administrative support to the medical department, including the Chief Medical Officer, Director of Nursing, and medical providers.
- Takes minutes at various medical meetings
- Assists with producing documents and reports for the department
- Assists with scheduling departmental meetings
- Assists with answering telephone calls and facilitation of messages
- Assists with distribution of mail, correspondence for staff meetings, and other CDHC notices
- Assists in maintenance of clinical and call schedule, including tracking paid time off
- Coordinates clinical rotations for students and learners
- Assists in travel arrangements for department staff
- Assists with communication and relationships with external organizations and vendors
- Serves as back up to the Administrative Assistant for the CEO
- Performs other duties as assigned
Qualifications
POSITION REQUIREMENTS
- Education: High school diploma or equivalent required
- Experience: 1-3 years experience in an administrative support position strongly preferred.
- Expertise: Proficiency in Microsoft Office applications, particularly Outlook, Word, Excel and Power Point
Strong verbal and writing skills
Interpersonal skills to handle sensitive and confidential situations
- Language: English fluency
- Work Hours: Monday-Friday, 40 hours per week (8:00am – 5:00pm)
- Travel: Locally as needed
- Exposure: The exposure characteristics described here are representative of those an employee encounters while performing the essential functions of this position. For example, while performing the essential functions of this job, the employee seldom is exposed to fumes or airborne particles and toxic or caustic chemicals. Additionally, the employee may occasionally be exposed to blood borne and other hazardous chemicals. Finally, the noise level in the work environment can seldom be quite loud. In all cases personal protective equipment will be provided to the employee in combination with adequate ventilation and other engineering controls to minimize the risk of exposure or other hazardous occurrence
