Charleston Animal Society is Hiring an Advancement & Events Coordinator

About the Role

Reporting to the Senior Director of Philanthropy, the Advancement & Events Coordinator plays a key role in managing Charleston Animal Society’s major fundraising events. This position provides direct support in planning, producing, and executing three signature fundraising events, donor salons, Behind-the-Scenes tours, and third-party events. Additionally, the role offers administrative support to the Philanthropy and Marketing teams to ensure seamless event execution aligned with our mission.

The ideal candidate is energetic, detail-oriented, and experienced in event management, with a track record of building vendor relationships, coordinating large-scale fundraising events, and juggling multiple priorities under pressure. Integrity, resilience, and a strong work ethic are essential for success in this role.

Key Responsibilities:

Event Management

  • Help plan and execute Applause for Paws Gala, Paws in the Park, and Lifesaver’s Luncheon
  • Track event budgets, vendor contracts, invoices, and event logistics
  • Oversee silent auctions, including data tracking, item descriptions, and auction software coordination
  • Serve as the day-of event coordinator for the Lifesaver’s Luncheon

Third-Party & Community Events

  • Work with internal teams to plan community and third-party fundraising events..
  • Partner with the marketing team to optimize promotion efforts, update event calendars, and create Facebook events.
  • Help facilitate outreach for in-kind donations from community partners.

Administrative & Marketing Support

  • Manage RSVPs and logistics for Behind-the-Scenes tours
  • Assist with scheduling, note-taking, and reporting for fundraising and marketing meetings
  • Conduct donor surveys and manage post-event analysis
  • Support marketing initiatives, including RFPs and promotional material procurement
  • Ensure proper grant recognition and documentation

What We’re Looking For

  • 3-5 years of experience in event planning, fundraising, or marketing
  • Associates degree or 4-year college degree highly prefered
  • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, and Publisher
  • Knowledge of Blackbaud platforms such asTeam Raiser, JustGiving, and other platforms such as Greater Giving, RallyUp
  • Adobe Photoshop, and Illustrator is a plus
  • Strong attention to detail and ability to multitask in a fast-paced environment
  • A passion for animal welfare and the ability to represent Charleston Animal Society professionally
  • Pre-employment drug test and background check required
