Job Description:
Experienced and compassionate Legal Assistant/Case Manager (Bilingual in Spanish preferred, but not required) with required skills of organization, attention-to-detail and time-management needed for a boutique law firm in midtown Charlotte (six employee law firm, including two attorneys) with experience in personal injury, premises liability, workers’ compensation, medical malpractice and general civil litigation.
Job Responsibilities:
1) Intake initial potential client inquiries using basic analytical and problem-solving skills in association with intake questionnaires;
2) Collaborate and consult with attorney(s) regarding completed intake questionnaires to determine if firm will be able to represent the potential client;
3) Onboarding of client, including obtaining client intake agreements and any other necessary documentation and evidence, and entering new client intakes into case management system;
4) Send Letters of Representation and Letters of Protection on new client cases;
5) Perform quality control on new cases created to ensure all missing items are received;
6) Maintain regular contact with client to ensure all treating providers are entered in the case management system and all medical records and bills are obtained;
7) Reviewing and organizing client information and files;
8) Use dashboard system in case management software weekly and monthly to create reports and spreadsheets so firm data can be easily reviewed and analyzed to ensure effective management of cases for our clients;
9) Use case management for daily Reminders/To Dos/Dockets to ensure all assignments and outstanding tasks are timely addressed and do not fall through the cracks;
10) Assist in implementation and maintenance of document management and forms in existing case management system;
11) Perform balance checks and obtain updated medical bills if balances have changed;
12) Maintain ‘closed boxes’ list and mails/emails executed releases to adjusters once case has settled;
13) Scan and distribute mail and faxes received daily to coworkers and into client files appropriately;
14) Assist in production and compilation of daily outgoing mail, including any advertisements;
15) Assist and translate in client conferences (in person and via telephone/video conferencing);
16) Assist with multi-line telephone system;
17) Prepare and send Analysis Summaries/Demands after attorney(s) review and revise;
18) Prepare settlement/disbursement packages when cases are resolved through settlement or litigation/verdict for review for attorney(s);
19) Assist colleagues in any capacity can to complete tasks and responsibilities when his/her assigned tasks and responsibilities already have been timely and properly addressed (i.e. be a team player); and
20) Willing to take on new tasks and responsibilities depending on firm needs.

7) Extensive use of case management software (i.e. Needles, Trialworks, Neos, Casepeer, Filevine, ProLaw or TimeMatters) to manage the docket, appointments and pending To Do’s and manage cases; and
8) Excellent communication and client service skills.

QUALIFICATIONS: High school diploma or equivalent required, but Associate’s or Bachelor’s Degree preferred. Prior legal experience required. A minimum of one (1) year Legal Assistant/Case Manager experience in North Carolina or at least three (3) years Legal Assistant/Case Manager experience in another jurisdiction in the areas of personal injury, premises liability, workers’ compensation, medical malpractice and general civil litigation.

Salary: $45,000.00-$60,000.00 annually based on experience
