This role involves managing administrative and legal support functions, overseeing daily office operations, and assisting with case management. The Office Manager/Legal Assistant will manage a variety of administrative and legal support functions, including billing, drafting legal documents, running conflict checks, and handling financial transactions. This role also involves overseeing the daily operations of the office, managing client relations, and assisting attorneys with case management. The ideal candidate will have a solid background in legal assistance and office management, with a keen eye for detail and a proactive approach.


Key Responsibilities

Legal Support:

  • Draft, review, and finalize engagement letters for new and existing clients.
  • Conduct comprehensive conflict checks to ensure compliance with ethical standards.
  • Assist attorneys with drafting and formatting legal documents, including pleadings, motions, and correspondence.
  • File and organize legal documents in electronic filing systems.
  • Manage and maintain case files, ensuring all documents are up-to-date and easily accessible.
  • Assist with preparing documents for court filings, including e-filing in various jurisdictions.

Office Administration

  • Oversee the office and attorney calendars, including scheduling hearings, meetings, and court appearances.
  • Coordinate and manage deadlines, ensuring all tasks and filings are completed on time.
  • Handle general office management duties, such as ordering supplies, maintaining office equipment, and ensuring a clean and organized work environment.

Client Relations And Business Development

  • Intake of cold calls from potential clients, including gathering necessary documentation and information for new cases.
  • Serve as a point of contact for clients, providing excellent customer service and promptly addressing inquiries.

Billing And Financial Management

  • Prepare and submit monthly client bills accurately and promptly using a legal billing platform.
  • Deposit client payments and other checks, ensuring accurate record-keeping.
  • Write and manage trust account checks, ensuring compliance with trust accounting regulations.
  • Manage office-related payments, including payroll, rent, utilities, and vendor invoices, ensuring all are processed on time.

Requirements

Qualifications:

  • Strong understanding of legal terminology, procedures, and document formatting.
  • Proficiency with legal billing software and trust accounting principles.
  • Strong understanding of accounting principles with experience
  • Excellent organizational skills with the ability to multitask and manage multiple priorities.
  • Strong written and verbal communication skills, with attention to detail.
  • Proficiency in Microsoft Office Suite and legal practice management software.
  • Ability to maintain confidentiality and handle sensitive information with the utmost discretion.
  • A proactive, self-starter attitude with the ability to work independently and as part of a team.

Salary : $60,000 - $70,000
