Position:
The Accounting Support Specialist is responsible for performing a variety of routine accounting duties including vendor invoice processing and troubleshooting, statement review, customer billings, accounts receivable and filing.
Essential Duties:
- Processes accounts payable invoices daily. Matches invoices to purchase orders and applies as appropriate, investigates discrepancies, assists with dispute resolution, communicates issues to supervisor and/or buyers in the field.
- Reviews vendor statements, assists Accountant with check runs and other Accounts Payable / Accounts Receivable duties as requested.
- Backs up other functions in accounting to provide coverage during periods of high volume, vacations, etc.
- Assists with entering and posting invoices to customers.
Job Duties
- Processes vendor invoices, assists with sorting these according to company procedures.
- Creates invoices according to company practices, submits invoices to customers and posts invoices to the accounting software.
- Documents procedures for all tasks and invoices that require specific processes.
- Accounts Receivable- Customer Deposits
- Research customer discrepancies and past-due amounts with the assistance of other accounting staff.
- Assists with filing documents, ordering office supplies and other clerical duties.
- Serves as backup to the receptionist by working at the front desk and answering phones when needed.
- Looks for areas of improvement in their responsibilities, including invoice processing efficiencies.
- Displays excellent communication skills in working with internal and external customers.
- Maintains punctual, regular, and predictable attendance.
- Works collaboratively in a team environment with a spirit of cooperation.
- Other duties as assigned.
Qualifications:
- No degree or certifications required for this position.
- Ability to write routine correspondence.
- The position requires computer skills. Must be adept at using various applications including database, spreadsheet, work processing, and communication by e-mail.
- Familiarity with Microsoft Office software programs.
- Ability to calculate figures and amounts such as discounts and percentages.
Physical Demands & Work Environment
While performing the duties of this job, the employee is regularly required to sit, stand, walk, and talk or hear. The employee is required to use hands and fingers to type or dial, and reach with hands and arms.
The employee must occasionally lift and/or move up to 25 pounds. This position requires frequent computer use. Specific vision abilities required by this job include close vision, color vision, distance vision, depth perception, and ability to adjust focus. The noise level in the work environment is usually quiet to moderate.
