SALARY RANGE: $24.21 - $31.45 PLUS BENEFITS
The Chautauqua County Attorney’s Office is seeking qualified candidates for the position of Confidential Secretary to the County Attorney at its Mayville, NY office. This is a full-time position (40 hours per week) that requires a high degree of independence and confidentiality.
The Confidential Secretary plays a vital role in supporting the Department Head by performing complex clerical and administrative duties, ensuring the efficient operation of the office. Responsibilities include managing sensitive information, exercising independent judgment, and providing guidance on departmental policies and procedures. The position operates under general supervision, with detailed instruction provided only in areas where policies have not been established.
Typical Work Activities:
- Acts as Secretary to the County Attorney;
- Assists the Department Head by managing office responsibilities, including coordinating travel arrangements such as car rentals, conference registrations, and hotel reservations, as well as scheduling appointments and directing incoming calls appropriately.
- Responds to requests for administrative information and prepares office reports.
- Drafts correspondence, including letters, memoranda, reports, and other routine documents.
- Maintains personnel records and prepares reports to ensure compliance with Civil Service and county regulations.
- Sorts and distributes incoming mail in accordance with department policies.
- Reviews incoming correspondence, assembling relevant files and materials to facilitate timely responses.
- Summarizes reports and key information to support the Department Head’s decision-making and optimize efficiency.
- Manages the Department Head’s schedule and maintains a shared departmental calendar.
- Compiles and analyzes data from office records and external sources for use in reports.
- Attends meetings and hearings as requested by the Department Head.

Minimum Qualifications: Graduation from high school or possession of a high school equivalency diploma and either:
A. Completion of 60 semester credit hours from a regionally accredited or New York State registered college or university and three years of work experience providing services to the public or performing clerical work activities; OR
B. Five (5) years of experience in an office environment.
