Job Description:
Casakids is seeking a highly organized, professional, and dedicated Administrative Assistant to provide high-level support across our organization. This full-time role is essential to our daily operations and serves as a cornerstone for maintaining efficiency and delivering high-quality services. The ideal candidate will be trauma-informed and uphold the highest standards of confidentiality and professionalism, ensuring a safe and supportive environment for all stakeholders.
Key Responsibilities:
- Serve as the first point of contact at the main reception desk, welcoming visitors, volunteers, and clients.
- Manage communications, including answering calls, taking messages, and directing inquiries appropriately.
- Prepare and type reports, memos, letters, and other critical documents.
- Perform general office duties, such as ordering supplies, maintaining inventory, filing, scanning, and copying documents.
- Oversee conference room upkeep and ensure it is stocked with supplies and ready for use.
- Assist with office opening and closing procedures, including locking/unlocking doors and computers.
- Proactively address the needs of clients, staff, volunteers, and visitors while ensuring a positive and respectful environment.
- Utilize de-escalation techniques when necessary to maintain a safe space for all.
Qualifications:
- High school diploma or equivalent required; additional education in office administration or related fields is a plus.
- Fluent in both English and Spanish (required).
- Strong organizational and multitasking skills with a keen attention to detail.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite and general office technology.
- Familiarity with trauma-informed practices is highly desirable.
