We are looking for a dedicated, organized, and personable Front Desk Supervisor to help lead our front desk team in ensuring that every guest enjoys a seamless, welcoming, and memorable stay at our coastal haven.
Position Overview:
The Front Desk Supervisor is a seasonal position that will oversee the daily operations of the front desk, managing guest check-ins and check-outs, reservations, and assisting with guest inquiries. This role requires a personable, detail-oriented individual who thrives in a customer service environment and demonstrates a commitment to exceptional guest experiences. The Front Desk Supervisor will ensure that the front desk runs smoothly, with a focus on efficiency, organization, and maintaining the high standards of service that our Inn is known for. This position also involves performing Front Desk Agent duties, acting as a role model for the team by setting the standard for excellent service and professionalism.
Key Responsibilities:
- Guest Services: Ensure all guests receive a warm welcome and excellent service from check-in to check-out. Address guest inquiries, concerns, and special requests in a timely and professional manner.
- Staff Supervision & Training: Lead, train, and supervise the front desk team, fostering a positive and collaborative work environment. Ensure staff are knowledgeable about the Inn’s policies, amenities, and local attractions.
- Lead by Example: Perform Front Desk Agent duties as needed, demonstrating high standards of guest service and professionalism. Set an example for direct reports by handling guest requests, check-ins, check-outs, and any concerns with attention to detail and courtesy.
- Reservations Management: Oversee reservations and booking systems, ensuring accurate and timely updates to guest records. Assist with managing room availability and rate changes.
- Guest Experience Management: Monitor guest satisfaction and resolve any issues promptly to maintain a high level of guest satisfaction. Ensure the team is aligned with the Inn’s service standards.
- Front Desk Operations: Manage the daily front desk operations, including check-ins, check-outs, phone calls, and guest requests. Ensure all guest information is accurately logged in the system.
- Billing & Payments: Oversee guest billing and payments, ensuring all charges are accurately recorded. Address billing inquiries or discrepancies in a professional and efficient manner.
- Communication & Coordination: Act as a liaison between the front desk, housekeeping, maintenance, and restaurant teams, ensuring smooth communication and coordination throughout the property. Coordinate bellmen for shuttle rides for both guests and staff, ensuring timely and seamless transportation.
- Room Cleaning & Status Updates: Provide room cleaning and status updates to housekeeping, ensuring rooms are prepared for guests in a timely manner and that the front desk team is informed of room availability.
- Turndown Service & Special Requests: Coordinate turndown service and handle special requests with the housekeeping team, ensuring all guest needs are met with attention to detail.
- Island Attractions & Services: Be knowledgeable about local island attractions, activities, and services. Assist guests with information and help coordinate tours, transportation, or special arrangements as needed.
- Daily Meetings: Participate in and lead daily team meetings to review operations, address any concerns, and ensure all team members are aligned with the day's priorities.
- Inventory Management: Assist in managing the front desk inventory, including supplies, brochures, and keys.
- Health & Safety Compliance: Ensure compliance with health, safety, and cleanliness standards, both for guests and the front desk team.
- Shift Leadership: Supervise front desk operations during assigned shifts, ensuring that all duties are completed efficiently and effectively.
Requirements:
- Previous supervisory experience in a front desk or guest service role, ideally in a hotel or boutique lodging property.
- Exceptional customer service skills with the ability to remain calm and professional under pressure.
- Strong communication and interpersonal skills.
- Familiarity with property management systems (PMS) and general office software. Familiarity with CloudBeds PMS/RMS is a plus.
- Detail-oriented with strong organizational and multitasking abilities.
- Ability to handle guest complaints and issues with tact and professionalism.
- Knowledge of the property, its amenities, and the local area to assist guests effectively.
- Flexibility to work weekends, evenings, and holidays as needed.
- A friendly, approachable demeanor with a focus on delivering an exceptional guest experience.
- Ability to perform Front Desk Agent duties and serve as a role model to direct reports by demonstrating professionalism, customer service, and operational efficiency.
